Job Description:
 
We are seeking a proactive and detail-oriented Virtual Assistant to support our online reputation management company.
 
This dynamic role bridges billing, operations, and account management functions, ensuring internal systems run efficiently and client support is timely and professional.
 
The ideal candidate is highly organized, resourceful, and a confident communicator who thrives in a fast-paced digital work environment. This role is ideal for someone who enjoys cross- functional support work, maintains high attention to detail, and takes initiative to keep processes and people aligned.
Qualifications:
Minimum 2 years' experience in an administrative or assistant role.
Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
Experience using Google Docs, Calendly, and billing software (e.g., ChargeOver,
Familiarity with project management tools, especially Monday.com.
Native-level English proficiency in both verbal and written communication.
High attention to detail with analytical and problem-solving ability.
Ability to work independently, take initiative, and manage responsibilities with minimal supervision.
Strong customer service orientation and professional communication style.
Key Responsibilities:
 
Billing & Finance Support:
Follow up on outstanding invoices and update billing software (e.g., ChargeOver) as necessary.
Liaise with the bookkeeper regarding "Ask List" items, ensuring accurate classification of expenses and deposits.
Respond to client billing inquiries by referencing past communication, verifying payment
records, and reviewing service agreements to provide accurate and professional responses.
Maintain a vendor database including W9/W8 status, payment method, and bank details.
Ensure all freelancer invoices are submitted and processed in a timely manner.
Prepare monthly internal reports summarizing billing activities, overdue invoices, and client payment status.
Operational Support:
Maintain and update internal Standard Operating Procedures (SOPs) to reflect current processes and best practices.
Facilitate communication and coordination across departments to ensure operational alignment and timely task execution.
Support various operational projects, ensuring all steps are tracked, documented, and completed efficiently.
Monitor Slack and project boards for task ownership gaps or stalled items, and flag or follow up as needed.
Update documentation after major process changes or tool updates.
Maintain a central task calendar for recurring company-wide activities like billing cycles, SOP reviews, and performance reports.
Account Management Assistance:
Assist account managers by creating and updating project work templates in Monday.com.
Keep internal project trackers and client files current, ensuring all client-related documentation is accurate and organized.
Help identify process bottlenecks and propose improvements to enhance team workflow and client delivery timelines.
Support onboarding for new employees or contractors by providing access to SOPs, tools, and templates.
