- Ensures the complete and efficient handling of customers' inquiries whether by telephone, SMS, fax or email.
- Ensures the complete and error-free inquiry handling according to customer service standards such as:
Appropriate greetings
Friendly manner
Repeats order of customer for double-checking
If order is by fax, email, SMS, send acknowledgement instantly via the same medium.
- Conducts contract review of the order as against the:
Account
Availability (MTO/MTS)
Delivery versus Required Delivery Date (RDD)
Volume
Price
- Ensures timely conversion of customer purchase order to sales order.
- Responsible for the on-time and efficient remittance of all documents.
- Follow-up daily invoices and unremitted invoices to the trucking coordinator.
- Ensures customers are informed of the set delivery date of their orders via telephone, SMS or email and will give delivery updates 1 day before the said delivery date.
- Facilitates an error-free and efficient invoicing of Sales Orders with outbound numbers:
- Ensures the use of the correct document
- Ensures the timeliness of invoicing process within 15 minutes and forwarding of invoices per truck within 30 minutes from the time the delivery department endorsed the Sales Order with outbound number
- Ensures to provide customers of the delivery update and status of their order as needed.
- Prepares daily and monthly reports (CSL) required by the Customer Service Supervisor.
