Job Title: Leasing Manager
Job Description:
The Leasing Manager is responsible for overseeing all leasing activities for Pick Up Coffee stores across the Visayas and Mindanao regions. This role involves managing relationships with lessors, ensuring smooth lease processing, tracking potential issues, and coordinating closely with relevant departments to maintain seamless operations and timely payments.
Key Responsibilities:
Lease Management
Oversee and manage all leasing agreements with lessors, ensuring accurate and timely execution of lease contracts.
Review and process lease offers and contracts, maintaining compliance with company policies and legal standards.
Coordinate closely on lease renewals to ensure timely execution and avoid penalties. The Leasing Manager is expected to prevent any unnecessary penalties, as these should not occur with proactive management.
While not responsible for initial site acquisition, the Leasing Manager's role is crucial from the point of site acquisition onward, taking full ownership of the lease process post-acquisition.
Beyond submitting Requests for Payment (RFPs), the Leasing Manager must follow up to ensure payments are completed on time and in full.
Monitoring and Issue Prevention
Implement a tracking system to monitor leases and proactively flag potential issues.
Identify and address any risks in lease processes to prevent disruptions and ensure smooth operations across the region.
Departmental Coordination
Lead the leasing function within the department, managing leasing activities across Visayas and Mindanao.
Address and prevent potential process delays, maintaining accurate and current lease records for all stores in the region.
Meeting Responsibilities (Internal and External)
Facilitate regular internal meetings with leasing and other departments to ensure alignment on leasing updates, payments, and any potential issues.
Represent the leasing function in external meetings with lessors, partners, and relevant stakeholders to maintain strong working relationships and address contractual matters.
Document and Agreement Oversight
Draft, review, and manage memoranda of agreement and related documentation to ensure compliance and accuracy.
Collaborate closely with legal and finance teams to align on terms and maintain accountability in documentation.
Financial Oversight
Oversee billing for Rent, Utilities, Common Use Service Area (CUSA), and other charges to ensure timely payments and accurate reconciliations.
Verify Requests for Payment (RFPs) for accuracy and compliance with contract terms.
Monitor store credit lines, ensuring no outstanding balances and maintaining a clear financial status across all accounts.
Reporting Lines:
Reports directly to the Leasing and Billing Head.
Dotted line reporting to the Regional Business Unit Head to ensure alignment with regional business strategies and requirements.
Qualifications:
Bachelor's degree in Real Estate Management, Engineering, Economics, Management, or related field.
Minimum of 2-3 years of experience in leasing management, preferably in the retail or commercial real estate industry.
Strong organizational and communication skills, with a proven ability to handle multiple projects and prioritize effectively.
Proficient in contract management and negotiation practices.
