Position Summary
In this role, the HR Operations Representative works as part of a dedicated team of People Services professionals serving our HR organization and global workforce. This role is responsible for working seamlessly between systems and service delivery. They will be responsible for maintaining the integrity and privacy of our Core Human Resources Information System (HRIS) data as well as serving as the first point of contact for our HR Centers of Excellence and HR Business Partners in support of workflow and business process execution, responding to employee inquiries and partnering with appropriate HR team members to resolve more complex inquiries. HR Operations Representatives follow data governance standards and procedures to maintain Core HRIS data, serve as a liaison and expert for assigned areas of data requests, data review, audit, recurring mass changes/ uploads and performing regular or ad hoc reporting tasks. A successful candidate will have experience working as part of an HR Systems and/ or HR Shared Services team managing and maintaining sensitive data, resolving inquiries in a professional and timely manner, and working on continuous process improvements.
Essential Duties and Responsibilities
Maintains data in SuccessFactors and all downstream systems associated with SuccessFactors data.
Monitors system queues for all change requests. Reviews requests for accuracy, validity, required documentation and approvals.
Serves as the gatekeeper for all employee changes, and ensures consistency, and adherence HR policy and procedures regarding timing, eligibility, and consistency of requested and approved changes.
Engages with all internal HR and Corporate Employee levels to resolve any questions, gaps, or other employee information related changes that require follow up, resolution and closure.
Works with SOX and other compliance teams to supply requested and approved audit reporting and compliance documentation.
Responding to ad hoc or month end standard reporting.
Partners with payroll to ensure accurate payroll administration through HRIS interfaces.
Supports the HR Systems and Operations teams in the implementation of HR system related projects as requested.
Supports the HR Centers of Excellence and HR Business Partner teams as needed for defined processes transitioned to the People Services team
Develops and maintains standard user documentation, such as SOP's, and internal knowledge base articles pertaining to HRIS and HR processes and procedures.
Responds to employee inquiries to ensure courteous, timely resolution by adhering to SLAs
Independently performs research to resolve more complex inquiries related to onboarding, benefits, HR policies and processes, and/ or employee relations. Documents research and consults with HR Center of Excellence and/ or HR Business Partners as appropriate.
When necessary, escalates inquiries to HR Center of Excellence and/ or HR Business Partners after completing initial research when appropriate to ensure prompt resolution.
Maintains knowledge of company and departmental policies and procedures.
Maintains the integrity and confidentiality of Human Resource files and records.
Identifies process and procedural improvements and contributes to the ongoing development of the FAQ library

Required Qualifications
Minimum of 3 years HRIS administration/ data management experience in a multi-site organization
Possesses excellent problem solving, continuous improvement, and analytical capabilities.

Promotes a culture of integrity, ethics and compliance and practices through implementation of and adherence to compliance policies, training and monitoring programs.

Preferred Qualification
Prior working experience with SuccessFactors or similar HRIS such as Workday
Prior working experience with ServiceNow or similar case management system
Familiarity with HR shared services models
Proficiency in Excel (familiar with Vlookup formulas, pivot tables, etc...)
Experience and Education
Typically requires a minimum of 2-4 years of related experience and a High School diploma/certificate or equivalent.
