Job Description
We are seeking a highly organized and dependable Customer Service Representative (CSR) to join our healthcare support team for a U.S.-based home care facility. This role is pivotal in maintaining seamless care delivery by coordinating between patients, family members, caregivers, and allied health professionals. The ideal candidate is detail-oriented, proactive, and comfortable working in a high-volume, fast-paced environment. This position requires exceptional communication skills, a strong sense of urgency, and the ability to manage multiple priorities with empathy and professionalism.
Key Responsibilities
Call Management & Communication
Handle a high volume of inbound calls from patients, families, caregivers, and partner facilities with professionalism and care.
Conduct outbound calls to caregivers, therapists, physicians, vendors, and patients to confirm schedules, relay instructions, and ensure continuity of care.
Provide timely and accurate information to callers, resolving concerns efficiently or escalating when needed.
Scheduling & Coordination
Schedule and update appointments, patient visits, and caregiver shifts using internal systems (e.g., WellSky or similar scheduling platforms).
Coordinate real-time adjustments to caregiver assignments in response to call-outs, cancellations, or urgent care needs.
Maintain updated records of caregiver availability, certifications, and patient care plans.
Administrative & Operational Support
Log all interactions, service updates, and schedule changes accurately in the system.
Support case managers and care coordinators with documentation, alerts, and task completion tracking.
Assist in preparing patient-related reports or caregiver rosters as requested by management.
Team & Client Collaboration
Participate in daily huddles or brief check-ins to align on client needs and action plans.
Submit daily end-of-day reports summarizing completed tasks, concerns raised, and pending follow-ups.
Uphold strict confidentiality and follow HIPAA guidelines in handling patient information.
Qualifications & Requirements
No BPO exp needed but BPO exp is an advantage.
Exceptional verbal and written communication skills in English.
Proven ability to manage high call volumes, multitask, and remain calm under pressure.
Strong organizational and time-management skills; keen attention to detail.
Tech-savvy and adaptable; comfortable using care management software, CRMs, or scheduling tools (experience with WellSky, ClearCare, or AlayaCare is a plus).
Familiarity with U.S. healthcare systems, HIPAA compliance, or allied health operations is a strong advantage.
Ability to work independently with minimal supervision while collaborating effectively with a remote team.
