Three Peaks International is a Sydney based staffing solutions partner which provides local and virtual staffing solutions to Australian businesses through outsourcing, recruitment, and migration. Simply put, we help businesses grow by providing them the staff they need that gets the job done.
Due to expansive growth in our business, we are looking to add a team member who can support the CEO as his Virtual Executive Assistant and at the same time support the whole team by looking after payrolling and invoicing.
The ideal candidate isn't just the typical EA/Bookkeeper who is just content with clocking in and doing their work. We are looking for a candidate that has a solid understanding in bookkeeping and financial statements preparation in Australia, has the management and leadership experience to work alongside the CEO and manage his calendar and communications, has high attention to detail and excellent administrative skills, and able to maintain good relationships with the team.
But most of all, this candidate is a leader, a quiet achiever and has a get-the-job-done attitude.
The key responsibilities for this role include:
Executive Assistant/ Migration Administrative Task
Manage and organise the CEOs emails by drafting responses for the CEO and/or replying to emails on the CEOs behalf
Managing the CEOs calendar by identifying and agreeing on priorities and slotting them in the CEOs calendar for appropriate action
Assist the CEO with publishing content on his own social media platforms as well as the business
Assist with some of the directors admin tasks, such as organizing meetings, sending reminders and taking minutes.
Assist in coordinating engagement activities across the organization.
Prepare or edit presentations for the networking or marketing events
Review work processes and assist in drafting SOPs and process mapping.
Any other EA/support function as required
Bookkeeping and Administrative Task
Prepare weekly invoices for the client.
Prepare Bi-weekly payroll for Virtual Assistants and send payroll stub statements for reference.
Review and ensure accuracy of the weekly invoices and coordinate with Operations Manager for any changes.
Review terms of business, engagement letters for the team member and ensure the technicality of terms and conditions are being followed and applied in the invoicing and payroll process in a timely manner.
Preparation of Monthly Financial Statements and adjustment as required.
Oversee and prepare weekly and monthly client Accounts Receivable and Accounts Payable functions
Assist the CEO with preparation of annual budgets and forecasts.
Build relationships with key advisors which would include the client, external accountant, bookkeeper and any other outsourced provider.
Attend meetings as required.
In order to be considered for this role, you will have the following key attributes, skills and strengths:
Has at least 2-3 years experience as a Virtual EA supporting high achieving business owners or senior managers
Has at least 2-3 years doing bookkeeping and/or assisting with financial statements preparation for Australian clients.
Degree in business, accounting or marketing
Ideally has project management experience or high organisational and administrative skills
Has experience using Quickbooks, Zoho, MS Office and Google Suite + any CRM
Has 1-2 years experience managing content for LinkedIn, Facebook and Instagram
Has good sound understanding of basic marketing principles
Has good commercial understanding of pricing, profit and loss, supplier agreements, client and contractor engagements
Good business acumen and can present himself/herself with clients if needed.
Adaptable in a fast-paced environment.
Able to do research on various topics
Tech Savvy and Proactive
Good verbal and written communication skills
Personable, Team Player and has Can-do attitude
