What is this role about?
As the GBS Quality and Compliance Specialist, you will be responsible for supporting the governance of the document management system and compliance controls in GBS operational processes. You will:
assisting with document control for process documentation, assuring timely reviews and updates of knowledge repository
implement a standard document control system
execute regular process compliance audits; and
educating GBS employees on frameworks to support global compliance including JTI Corporate policies, JTI Operating guidelines, JSOX, Preventing Financial Crime Policy, GDPR.
What will you be doing?
1) As the Local Expert of the Global Quality Framework you will:
ensure overall GQM Documentation Framework and Standards are implemented and complied with locally
ensure continued governance and maintenance of the GQM Documentation Framework and Standards
identify opportunities for further refinements, improvements and efficiencies; and
train documenters and validates as required to ensure the framework is produced at the correct standard and educate GBS employees members as required.
2) Process Control
ensure that any new processes or changes to existing processes are in complete compliance to the Global Quality Framework requirements (e.g. JSOX, SAP roles, documentation)
regularly audit frameworks and ensure remediation points are dealt with in a timely manner
coordinate any relevant matters between the GM, the local management team of the GBS and the Global Quality Lead as appropriate
ensure regular reporting and information is escalated to the GM, the Global Quality Lead and other management as required; and
support change management process for the GBS process documentation and internal controls ensuring integrity.
3) JSOX
drive compliance to specific JSOX controls with GBS control owners
be the Local JSOX Coordinator as defined by FCG
be the Local GBS representative and center of expertise for JSOX compliance
coordinate and support internal and external audit; and
coordinate and support JSOX Management walk throughs
4) Other Compliance Initiatives
Support compliance initiatives as required for the local GBS with direction from the Corporate compliance Lead such as:
Preventing Financial Crime Policy
OCM (One Change Management process)
Others as appropriate
BCP maintenance, test coordination and execution, document update.
What are we looking for?
University degree (e.g., in Economics or Business Administration, Engineering or Science)
Experience in a multinational company for a minimum of 2-3 years in a similar position, ideally experience relevant to GBS.
Computer Skills (MS Office incl. Advanced excel)
Fluent English (written and spoken); good communication skills (written and spoken)
Strong level of business understanding
Prior experience with quality assurance and document control processes
Good communication skills
Strong leadership mindset
Empathy to understand different perspectives towards a specific situation
Able to think outside the box and holistically evaluates the solution space to a problem
Strong analytical and problem solving skills.
