You will reportdirectly to the Payroll, Finance and Benefits Administration Supervisor. What you'll be doing: General Administrative Support Organizes calendar reminders for company events/outings, meetings, and trainings. Createsof collaterals/materials for team announcements. Coordinateswith vendors on hotel bookings and travel arrangements, order and deliveries of company assets or other projects. Maintains and manages monthly reports of internet connectivity, inventory reports on company assets and office supplies. Reviewsand updatescompany norms and all training materials across all platforms. Assists in research, gathering and analyzing data and creates presentations based on recommendations. Assists and gathers necessary information in execution of pre-meeting, meeting proper, and post-meeting stages takes accurate minutes of the meetings to capture action items and follow-up items documents and synthes conversations. Creates reports related to the events on a monthly, quarterly and/or yearly basis to showcase learnings, trends and recommendations. People Initiatives Administrative Support Provides administrative support in on-boarding of New Hires coordinating with relevant function teams on setting up system accesses, on-boarding schedules consolidating pre-employment requirements sending of calendar reminders for Performance Feedback submissions and welcome emails scheduling, conducting and providing summary reports for New Hire Orientations and 2nd week check-ins. Provides administrative support in off-boarding team members coordinating with separating team members on pick-up of company assets and other items for turn-over scheduling, conducting and providing summary reports for stay and exit interviews. Evaluates employee lifecycle and recommends potential changes that help support and drive our culture forward. Implements measures to increase employee morale, motivation and satisfaction through employee engagement surveys, work lifestyle programs, diversity and inclusion programs and trainings and employee assistance programs. Cross-Functional Support Participates in cross-functional and/or team projects and initiatives and functions as necessary. SupportsEmployee Engagement initiatives through vendor selection, research, and coordination. Assists in resolving administrative challenges and handles multiple projects involving different functions of the organization. Vendor Selection and Coordination Research and coordination with vendors for mental health trainings and other programs and initiatives, company asset pick-up and deliveries purchase of company giveaways, wedding/birthday, get-well-soon fruit baskets, bereavement support, etc. for endorsing for payment. Acts as a liaison between selected partner vendors for Team Manila programs and projects. Performs other duties that maybe assigned from time to time. What we're looking for : Bachelor's Degree in any 4-year course. With two (2) years of hands-on administrative support experience. Knowledge of office management systems and procedures. Knowledge of office and administrative practices and principles. Proficient in MS Office Suite (MS Word, MS Excel, MS PowerPoint, MS Outlook, MS Teams). Proficient in digital asset creation using tools such as Canva or similar tools. Excellent verbal and written English communication skills. Excellent interpersonal skills. Must be able to communicate to individual on all levels. Excellent time management skills and ability to multi-task especially with multiple high-priority tasks. Exceptional attention to detail and high level of accuracy. Exceptional work ethics. Strong organizational and planning skills. Proactive attitude and learner's mind set (asks questions, gives feedback, clarifies potential issues, anticipates audits, etc.). Ability to independently figure out problems that arise before seeking out help. Capacity to adapt to changing environments, directions, and priorities. Capability to work independently and with a team. Location: The People Initatives & Administrative Specialist position is a remote working position for Balsam International Unlimited Company Philippine ROHQ in Manila. Team members in the Philippines are located within Metro Manila, Cavite, Rizal, Bulacan or certain parts of Laguna only (Bian, Cabuyao, Calamba, Los Baos, San Pedro, and Santa Rosa). Our must-haves: Must be willing to attend occasional in-person meetings depending on the status of the pandemic. Must have a fast, reliable DSL, Fiber, or Broadband connection (not mobile or broadband stick) as the primary internet connection with a minimum actual speed of 10MBPS . Must have a back-up internet connection of the same speed if primary connection becomes spotty. Note: An online assessment will also be part of the recruitment process.
