About the Job
Reporting to the Food Manager, this ASSOCIATE role is responsible for the administrative part of IKEA Food to reach the Gross Margin, Gross Profit and Operational Profit goals at store level. He/She supports the Store IKEA Food Manager, so that he can carry out the IKEA Food concept in the most efficient way. Among other tasks, this involves being always up to date on all invoices, wastage reports, and inventories in order to secure the best possible monthly financial result for your store.
Your assignment
You work closely with your Kitchen, Restaurant and Bistro/SFM Managers in ensuring correct month-end stock count and correct information on all imported goods situation such as inventory in warehouse and arrival of imported goods, raising alerts for any anomalies without direct management responsibilities.
You secure all invoices for store, and aiming for high accuracy in financial and operational reporting.
You coordinate regular stock counts (delegate counters and prepare necessary paperwork);
You work effectively with the finance team to manage billing statements, fostering cooperation for accurate financial transactions and reporting.
You demonstrate meticulous monitoring of deliveries to guarantee accuracy and timeliness, reflecting a commitment to maintaining a reliable and efficient inventory flow.
You identify from the stores stock deviations, and alert IKEA Food manager in order that proper actions are taken;
You coordinate seamlessly with vendors, ensuring clear communication channels, and promptly addressing issues for a smooth flow of inventory.
You ensure that BRING invoices are paid on time, and if there is any discrepancy, then you alert the IKEA Food manager and Finance personnel in order for proper actions to be taken;
You secure that proper month end reports are available and stay ahead of sales stops through proactive information gathering, enabling timely communication with relevant teams to minimize disruptions and maintain customer satisfaction.
You efficiently manage CASY claims for global IKEA products, demonstrating a comprehensive understanding of global claim procedures. Also, efficiently process product claims with local suppliers, ensuring a streamlined and effective claims management process.
You provide your IKEA Food manager with business information such as all relevant reports from Navision;
You support your IKEA Food manager and Finance Team with the monthly accrual process;
You work closely with IKEA Food Purchasing Manager on issues with imported goods.
Qualifications
Your Profile
You have experience in a retail environment (i.e Stock taking & Book keeping, etc.)
You are attentive to details and ensure accuracy in report generation;
You are knowledgeable in working with computer systems;
You have experience of working with a KPI-driven action plan,
You have good communication and interpersonal skills, able to influence and collaborate with others.
You have experience in administrative roles, preferably within the food service or retail sector.
You have proficiency in Excel for data analysis, ordering processes, claim handling, and inventory management.
You have strong attention to detail, data entry skills, and familiarity with pricing matrices.
Claim Expertise: Understanding of CASY claims for global IKEA products and local supplier claims is an advantage.
System Proficiency: Familiarity with systems related to invoicing and inventory management is an advantage.
Additional Information
This role requires flexibility in work hours, work schedule is approximately 40 hours per week on the average, depending on store operational requirements. Working on public holidays and weekends.
