Job Description
Reports directly to the Managing Director.
Acts as a point of contact among the executives, managers, employees and other external partners.
Maintains the executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel itineraries.
Undertakes projects and research, which might require contact with external agencies, as required by the Managing Director.
Prepares reports, memos, correspondences, emails and other information for internal and external agencies as per approval of the Managing Director.
Prepares reports by collecting and analyzing information.
Maintains customer confidence and protects operations by keeping information confidential.
Secures information by completing database backups.
Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
Maintains office supplies inventory by checking stocks to determine inventory level, anticipating needed supplies, evaluates new office products, placing and expediting orders for supplies and verifies receipts for supplies.
Contributes to team efforts by accomplishing related results as needed.
Performs other management mandated functions as may be assigned from time to time.
Minimum Qualifications
Bachelor's degree in any business course (Office management, Business Administration, etc.)
At least 2 years' experience as an Executive Assistant or similar role
Outstanding organizational and time management skills
Excellent computer skills; familiarity with office gadgets and applications (e-calendars, facsimile, copy machines)
Excellent verbal and communication skills; business correspondence, reporting and people management skills
