Job Summary:
We are seeking an organized and proactive Executive Assistant to support our executive leadership in day-to-day operations. This role involves managing schedules, communications, and various administrative tasks to ensure smooth and efficient operations. The ideal candidate will have strong attention to detail, the ability to juggle multiple tasks, and a proactive approach to problem-solving. Key Responsibilities:
Calendar Management: Effectively schedule and manage appointments, meetings, and events for executives, ensuring all commitments and deadlines are met.
Communication Management: Serve as a point of contact for all communications, including screening, prioritizing, and responding to phone calls, emails, and correspondence on behalf of executives.
Travel Coordination: Organize travel arrangements (flights, hotels, ground transportation) and manage itineraries to ensure smooth and cost-effective travel experiences.
Administrative Support: Provide general administrative assistance, including preparing documents, managing records, data entry, and filing, while maintaining confidentiality and attention to detail.
Project Management: Oversee and assist with managing various projects and special initiatives, ensuring successful execution and completion on time.
Relationship Management: Cultivate positive working relationships with internal and external stakeholders, clients, vendors, and partners.
Event Coordination: Plan and organize corporate events, conferences, seminars, and workshops, ensuring seamless execution and effective coordination.
Information Management: Maintain and update databases, manage information systems, and ensure data is well-organized, accurate, and easily accessible.
 
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field.
Proven experience as an executive assistant or in a similar administrative role, with a strong understanding of organizational dynamics.
Excellent proficiency in both Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Google Docs, Google Sheets, Google Forms, Google Drive). Familiarity with collaboration tools is a plus.
Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks effectively.
Exceptional written and verbal communication skills in English; proficiency in Japanese is a plus.
Proven ability to handle sensitive and confidential information with discretion and professionalism, ensuring that all documents and communications are secure and protected.
Ability to adapt to changing priorities and work extended hours or overtime as needed.
Strong interpersonal skills, with the ability to collaborate effectively with team members and stakeholders at all levels.
