DESCRIPTION:
The Executive Assistant, with limited supervision from the Chief Operating Officer, provides the necessary:
professional-level support for the Chief Operating Officer since this is a highly responsible administrative and professional role that requires a high degree of accuracy, accountability, attention to detail and confidentiality.
The Executive Assistant is given considerable freedom; however, all work is subject to review by the Chief Operating Officer.
ESSENTIAL JOB FUNCTIONS:
Prepares information for the COO and other meetings.
Creates and maintains electronic databases, spreadsheets and logs.
Conducts advanced clerical research and obtains pertinent materials and information for completing reports.
Prepares, proofreads, edits, and distributes correspondence, memoranda, charts and reports.
Processes incoming and outgoing mail/materials for the Chief Operating Officer.
Prepares agendas, sends notices and attends meetings and work sessions for the purpose of providing information, recording minutes and supporting the needs of other attendees.
Works independently on projects and initiatives assigned by the Chief Operating Officer.
Serves as a communications link between the Chief Operating Officer and both internal and external stakeholders.
Completes tasks as related to purchasing, procurement and personnel.
Establishes, organizes and maintains filing and record-keeping systems and reference manuals/materials to support office functions.
Maintains confidentiality of information processed through the Chief Operating Officer's office.
Assists other departments within and outside the department.
Coordinates conference and travel plans.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Expert knowledge of office organization and management techniques
Expert knowledge of and proficiency with computer technology like Google Drive
Ability to communicate clearly and concisely in both written and oral form
Ability to work harmoniously with both internal and external stakeholders
Ability to prioritize, perform multiple tasks, and work with frequent interruptions
Ability to think critically and solve problems which may arise.
MINIMUM EDUCATION, TRAINING AND EXPERIENCE:
An Associate's degree in business or a related field and six (6) years of clerical/secretarial experience with increasing responsibilities and a minimum of three (3) years providing administrative support to a Director or other senior leadership or:
Bachelor's degree in business administration or a related field and a minimum of three (3) years providing administrative support to a Director or other senior leadership.
