Job Overview:
The role of this employee is to accept Sales Reservations and booking requirements; report to Customer Service Unit Head on the sales take-up; perform due diligence procedures; follow up submission of booking requirements; provide support for Sales, including assistance during sales events, and handle customer queries and post-booking requests.
Success in this position is evident in the acceptance of completely filled up and signed Reservation Agreement and ascertaining payment of Reservation Cost, account conversion to booking within the set turnaround time, and prompt handling of customer change requests within set guidelines and timeframe. For the Leasing business, the Customer Service Assistant is also tasked with accepting submission of requirements per the checklist for leasing, coordinating with the Leasing Unit and Documentation Unit for Contract preparation.
The role of a Customer Service Associate supports the realization of sales revenues for the company, and directly impacts how the company is perceived by sellers and clients.
Responsibilities and Duties:
Inventory Monitoring
Monitors status of unit from holding to actual Reservation via Online Reservation and Inventory System (ORIS)
Prepares status reports on sales reservations and bookings of assigned projects
Coordinates with Customer Service Manager for the return of units cancelled (whether reserved or booked) to Available Inventory
Monitors status of units for lease, and expiry of existing leases
Sales Reservation and Booking
Monitors receipt of signed Reservation Agreement, Computation Sheet, Unit Layout generated through ORIS, and accepts these including buyer's ID
Within three (3) working days from Reservation and receipt of buyer's information, conducts due diligence procedures: phone verification with buyer, internet checking, request for CIBI report on buyer, and checking on websites prescribed by AMLA
On the thirty first (31st) day from Reservation Date, directly follows up submission of requirements for booking with buyer
Monitors account conversion, follows up directly with buyer every 10 days, and record progress in SharePoint Conversion Monitoring System
Accepts documentary requirements and creates Buyer's Folder to contain submitted documents
Coordinates with Documentation Unit for the issuance of the Contract to Sell
Handles customer requests and records progress using SharePoint Customer Ticketing System
Sales Support
Assists during Sales events, including Compsheet preparation
Leasing Support
Maintains and updates the Lease Abstract and Lease Monitoring file
Accepts documentary requirements for leasing and creates Lessee's Folder to contain submitted documents
Coordinates with Documentation Unit for the issuance of Contract of Lease
Handles customer requests regarding leasing and records progress in SharePoint Customer Ticketing System
Qualifications:
Education level: Completed college with a bachelor's degree in Marketing or any business course
Experience: Minimum three (3) years experience in Sales Administration in the real estate industry, at least two (2) years of which were spent in the frontline
Specific skills: Good oral and written communication skills; use of office computer applications (MS Outlook, Word, Excel, Powerpoint)
Personal characteristics: Has sense of ownership over assigned tasks; conscientious in monitoring, recording and following through to complete tasks; attentive to details; responsible; relates well with people
Certifications: College diploma
Licenses: None required
Physical abilities: Independently mobile
