Job Description
JOB SUMMARY:
This position provides administrative and secretarial support for the company such as office upkeep and assists in coming up with circulars, travel bookings, petty cash management, record keeping, meeting room reservations, process billings & updating of payments, supplies monitoring & requisition, sending of documents & pouches to sites through courier, and working on special projects that will contribute to efficient delivery of Admin services.
DUTIES AND RESPONSIBILITIES:
As Receptionist
1. Thoroughly screens incoming calls and correspondences and prioritizes important ones
2. Entertaining visitors by greeting, welcoming, directing them to their contacts
3. Handles and monitors the sending of pouches and documents to sites via courier
4. Ensures timely sending out and receiving documents, emails, and packages
5. Manages files ensuring that they are easily accessed and retrieved
6. Ensures proper maintenance and upkeep of the receiving area for incoming guests
7. Receiving of various billings/ SOA from suppliers and timely distribution to the addressee
8. Handles Purchase Requisition of Admin and selected teams
9. System Receiving in Oracle for Taguig end users
10. Handles the Asset Tagging
11. Coordinates with the maintenance personnel for any errands
As Admin Support
1. Ensure proper office upkeep and completeness of supplies
2. Assist in the 5S program
3. Handle Admin circulars including artwork
4. Handle the Travel Bookings of employees
5. Petty cash management of Admin Funds
6. Process the Request for Payment (RFP)
7. Manage the scheduling of meeting rooms
8. Billing and posting of payments
9. Coordinate between departments and operating units in resolving day-to-day administrative
and operational problems
10. Act as a reliever to the Receptionist
11. Perform other tasks as may be assigned by the immediate superior
Other Tasks:
1. Assist in the implementation of admin projects and directives as needed
2. Perform other related activities that may be assigned by immediate superior
3. Assist in all emergency response related activity such as but not limited to logistics and
monitoring activities during emergency
Qualifications
EDUCATION:
● College degree of any business course
EXPERIENCE
● At least 1 year of experience as a Receptionist or Front desk personnel.
COMPETENCIES
● Excellent Written and Verbal Skills
● Excellent Customer Service skills
● Excellent interpersonal skills
● Detail-oriented and good in math
● Proficient in Windows and Microsoft Office applications
● Skills in Photo Editing is an advantage and the use of Canva
● Good team player and can handle multi-tasking
● Flexible and willing to work long hours with minimum supervision
