Position: Administrative Assistant
Department: Admin
Reports to: Chief Financial Officer
Job Overview:
The Administrative Assistant is responsible for providing support to accounting and office operations of the organization. He/She must have excellent communication skills, top- notch customer service skills and must be outcome-oriented. The ability to work in a fast-paced environment with strong organization skills is essential. You will be fully engaged and busy from the first day and we guarantee there will be no dull moment.
Responsibilities:
Accounting:
Maintains accounting records by making copies and filing documents.
Maintains accounting databases by entering data into the computer and processing backups.
Tracking of invoice status, payments and projects for collection.
Accomplishes accounting and organization mission by completing related results as needed.
Administrative:
Performs general clerical duties to include but not limited to: photocopying, faxing, emailing, mail distribution and filing.
Coordinates and maintains records for staff, office space, phones and other related resources.
Maintains office calendar in current and accurate status.
Coordinates meetings and conference calls, as needed.
Answers phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner.
Prepares meeting materials and assists with the development of presentations.
Responsible for keeping inventory of all office supplies and placing orders for replenishment.
Ability to juggle multiple tasks with superb accuracy.
Strong administrative skills.
Exceptional customer service skills, over the phone and in person, with our customers and staff.
Strong sense of urgency and problem solving skills.
Prepare weekly reports and other departmental projects as needed.
Tracks departmental tasks and ensures the timely follow up of all pending projects among departments.
Data entry and file management.
Reviews/answers emails.
Protects the organization's value by keeping information confidential.
Updates job knowledge by participating in educational opportunities.
Accomplishes general office tasks.
Performs additional tasks that are related to the department.
Qualifications:
Bachelor of Science in Business Administration or related field.
Open for Fresh Graduates
1-2 years administrative experience in a corporate setting is a plus
Experience in office organization software and accounting software is a plus.
A+ organizational skills
Proficient in MS Office suite - Word, Excel, Powerpoint, Access, Outlook, Internet, Google Apps.
Ability to write, speak and interact clearly and professionally.
Can handle sensitive information with the highest degree of integrity and confidentiality.
Strong analytical and problem-solving skills.
Ability to multi-task in a fast-paced, deadline driven environment.
Must be able to maintain professionalism and positive service attitude at all times.
Time management skills are a must.
Must be a Filipino citizen living in the Philippines.
Additional Requirement:
This is a hybrid position; a successful candidate must be willing to work in the office located in Loyola Heights, Quezon City (near Ateneo de Manila University and Miriam College).
With a working computer and stable internet connection at home.
