The Admin and Facility Manager will be responsible for the overall smooth operation of the office facility ranging from employee/department administrative support, government clearances, event supervision, procurement and inventory control, record management, and workplace safety.
What you'll do at Insight
-The Admin and Facility Manager will be responsible for developing efficient practices to serve business needs.
-Creates, reviews, edits facilities-related policies such as but not limited to safety, spacing, shipment, assets, government-mandated office protocols, etc.
-Creates, reviews, edits government and vendor documents.
-Coordinates on building plans, certifications and renewals, inspections, and health and fire safety requirements.
-Processes PEZA equipment declaration, movement of items, disposal, and donation. Collaborates with Accounting and IS Ops on equipment identification and value.
-Collaborates with warehouse, courier, and broker on import/export shipment, customs release all the way to delivery. Prepares and files government import-related documents.
-Supervises the yearly PEZA incentives renewal requirements and coordinates with Accounting on any additional reportorial items related as required by PEZA Enterprise Services.
-Handles and supervises company registration, closure, and renewal requirements with the barangay and city level, and PEZA.
-Coordinates with safety and HR on the submission of health and safety plans, fire evacuation plans, and workers' health standing.
-Works closely with Safety Officer in implementing government-mandated protocols such as but not limited to participation on the yearly fire evacuation drill and monthly safety meetings, inspection of fire extinguishers, smoke detectors, and emergency lights, purchase of safety equipment, implementation of safety standards, and coordination with affected vendors.
-Creates workflow of the building evacuation plans, conducts trainings on earthquake and fire emergency response, identifies emergency point of contacts internally and externally, and assigns and renews certification of first-aiders.
-Coordinates with Building Admin and vendors on repairs and scheduled maintenance of the office space such as but not limited to pest control, disinfection, carpet, AC and ducting, water and plumbing, parking, UPS, printer, etc.
-Schedules and assigns the facility staff's day to day to-dos, inventory audits, scheduled preventative maintenance works, government and vendor errands, and equipment deployment, delivery and returns. Evaluates their yearly performance.
-Organizes seat plan and seat movements, identifies removal of workstations together with cabling and power, re-lays-out room based on needed requirement, implements standard PEZA fire safety spacing rules.
-Handles IT and non-IT products and services procurement such as but not limited to data gathering of requirements, price canvassing, vendor agreement setup, delivery scheduling, payment coordination, and warranty claims.
-Audits inventory of facilities-related consumables and non-consumables, and coordinates on replenishment of supplies and decides on disposal.
-Reviews petty cash expenses needed to maintain the operations. Coordinates with Accounting on replenishment, documents submission and expense report.
-Organizes vendor billing statements, routes for approval, submits to Accounting the report summary, coordinates with affected vendors for check pick-up or with maintenance for check deposit, and follows-up with Vendors on OR/invoice/BIR issuance.
-Submits payroll reports, such as but not limited to Admin team attendance/overtime.
-Coordinates on seat assignment and seat movements, identifying point of contact for the new hire's first day, assigning and retrieving work from home equipment (if applicable), and reporting to IT any software and hardware issues.
-Strategizes the delivery, pick-up and coordination of work from home equipment, documents, and other office items between the office and teammates.
-Plots the shuttle service assignment for onsite employees.
-Liaises with IT on equipment procurement, shipment, and deployment, inventory allocation, storage and disposal, and other strategic plans on desktop support operations.
-Organizes and maintains a repository of facilities-related records.
-Determines posting of printed and digital signages about workplace health and safety, events, employee relations, and other general announcements. Conceptualizes on banner contents and coordinates with advertising.
-Manages the company guest hospitality from hotel accommodation, transportation coordination, food-drinks and other special arrangements, and IT equipment setup.
-Handles the company's events which includes vendor identification and coordination, site inspection, banner and email conceptualization and scheduling, guidelines/FAQs/game mechanics creation, registration processes, event workflow, and expense report and consolidation.
-Some travel maybe required.
-Other duties as assigned.
What you'll need to join Insight
-Bachelor's Degree in Office Administration or related field, from four-year College or University.
-At least 5 - 8 years of experience of administrative support in a BPO setting and other related experience.
-At least 5 - 8 years of experience in local government and PEZA permit and clearance processes.
-Able to thrive in an environment characterized by rapidly changing requirements and an ongoing focus on meeting operational objectives.
-Strong written and verbal English communications skills.
-Highly organized and detail oriented.
-Able to successfully manage multiple priorities.
-Proven ability to communicate effectively across all levels of the organization.
-Strong commitment to company values and operating principles.
Preferred
Knowledge on project/tasks management tools.
