Role and Core Function:
Managing payments and maintaining good relations with suppliers
Monitoring and reporting costs and assist in cost-reduction measures
Duties & Responsibilities
Cash flow Management
Manages cash outflow through strategic processing of valid and authorized payables while maintaining good relations with suppliers
Provides the weekly payments report every Tuesday, raises red flag to the Director and Accounting Manager for cash flow concerns
Receipting
Ensures supplier invoices are correctly receipted as quickly as possible to aid in invoicing of completed jobs
Ensures credits are immediately received from suppliers (SLA: 7 days), chases any outstanding credits, and that these are applied in a timely manner
Ensures reimbursements are properly authorized and recorded in the books and in the related jobs in a timely manner
Wages
Collates needed payroll information and ensures accurate computation of payments to employees (payroll) and contractors every Tuesday for technicians and monthly for offshore (SLA: 3 days after cutoff)
Recording and Reports
Ensures proper recording in Xero
Ensures proper internal controls are in place in the AP process
Reconciles the accounts payable records in the books and with suppliers
Prepares and updates expense trackers to aid in cost-reduction measures
Prepares the necessary daily, weekly and monthly reports for accounts payable management
Assists in the completion of the monthly report not later than 5 days after invoicing completion to ScaleUp, 10 days to management
Educational Requirement
Bachelor's Degree in Accounting or any finance-related course
Qualification
At least 3 to 5 years of experience in Accounts Payable and General Accounting
Can process a minimum of 50 invoices per day
Solid understanding of basic bookkeeping
Must have knowledge of GAAP and basic accounting principles
Proficient in Xero Accounts Payable process
Proficient in MS office applications and Google Suite, especially Excel and Sheets
High degree of accuracy and attention to detail
Can communicate well in written and oral English Language
An absolute commitment to customer service and follow-up

Ability to implement own systems, good organizational and time-management abilities
Follow instructions independently and work with minimal supervision, attention to detail

Work Hours
Monday to Friday
9:00AM to 6:00PM NZT
Technical Requirements
For this role, you will need your own & backup laptop/desktop (i5 or higher) with video
Internet Connection of not less than 50MBPS
Noise Cancellation headset
Second Monitor
