Virtual Medical ReceptionistPosition Summary
The Virtual Medical Receptionist serves as the first point of contact for patients, managing a high volume of inbound calls and appointment requests in a professional and efficient manner. This role is crucial to ensuring smooth clinic operations and delivering excellent patient service in a virtual environment.Key ResponsibilitiesAppointment Scheduling & Coordination
Answer and manage a high volume of inbound calls using the Weave softphone system
Schedule, reschedule, and cancel patient appointments in the EMR system (Athena)
Fill cancelled slots promptly and manage waiting lists * Send appointment confirmations and reminders via phone, text, or emailPatient Communication & Support
Provide friendly, accurate information to patients regarding services, policies, and appointment logistics
Gather and verify patient demographics and insurance information
Support pre-authorization processes as neededDocument patient interactions accurately in the EMRCollaboration & Admin Support
Coordinate with onsite/admin staff for any tasks requiring physical presence
Relay messages to the appropriate staff members promptlyMaintain confidentiality and comply with HIPAA guidelinesQualifications
At least 3 years of experience in customer service, preferably in a medical /healthcare setting.
Experience in dermatology or specialty practices is a plus.
Hands-on experience with EMR systems (Athena experience is a plus).
Familiarity with phone systems/softphones (Weave experience is a plus).
Strong organizational skills and ability to manage multiple tasks simultaneously.
