Inbox, Comms & Client Service
Inbox triage, FYI filing, convert emails to FYI tasks; draft acknowledgements, document requests, confirmations.
Phone/voicemail sweep; social/DM routing; spam false-positive checks (Quarantine and junk emails).
Canned replies library; escalation matrix; end-of-day (EOD) digest of priorities/risks.
Calendar, Meetings & Travel
Proactive calendar management (2-week look-ahead), Teams links, reconfirms, basic travel bookings.
Agendas, minutes from contented, and CRM/FYI action logging.
Client Lifecycle, CRM & AML
Onboarding packs (XPM/contacts, Ignition draft, folders), AML via Verify initiation and filing, offboarding packs.
Contact hygiene (dedupe, capitalisation, valid mobile formats), segment/list maintenance.
Practice Ops: WIP, Capacity & Project Management
FYI job hygiene: monitor job progress, stage/due-date/budget updates, weekly mini-WIP tidy.
Task-board policing: every actionable email has owner & due date; chase blockers; simple status reporting.
Establish and maintain SOP library
Statutory & IRD Admin
Companies Office/CAS360 routine changes; annual-return prep packs; minutes/resolutions templates.
IRD secure mail triage: download notices, create FYI tasks, track instalments/arrangements.
Compliance Production Support (first-pass/admin)
Workpaper assembly (bank/loan/IRD statements, ledger extracts) with index & naming.
GST first-draft packs; payroll pack assembly (timesheet nudges, leave movements).
Billing, AR & Subscriptions
Monitor Paid Nice and Invoices,
Monitor Xero subscriptions and billing
Marketing & Content Ops
Format/schedule newsletter/email sends (tests, approvals, UTM tags); schedule LinkedIn posts.
Basic website updates (testimonials/FAQs), light analytics reporting.
Manage Active Campaign contacts
Automation Care & Templates
Zapier/Power Automate first-line triage; maintain email/letter/SOP template library.
