Job Description
The position's responsibility is to compile and analyze technical information and prepare reports in order to address the specific need/requirement of the First Vice President (FVP).
This position ensures that the FVP's directives, required information/data, and updates on programs/initiatives are communicated accurately and in a timely manner with the FVP's direct reports, team members, and other key stakeholders while maintaining confidentiality in sharing information.
Works closely and coordinates with AP Regulatory Affairs and External Relations
Communicates directly and on behalf of the FVP for project / initiative updates and other information needed from direct reports and other executives
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the FVP, including those of a sensitive or confidential nature. May recommend appropriate course of action, referral, or response as needed
Updates and monitors databases containing confidential information on the organization's issues, objectives, and strategies for relationship-building and stakeholder management
Conducts research, gathers information, and prepares background checks and profiles of key external stakeholders as needed by the FVP
Participate in the preparation of essential documents and reports relevant to the organization
Manages the FVP's calendar and logistics of meetings and appointments
Updates, maintains, and safe keeps files, documents, reports, and other official data or information
Manages travel itineraries and hotel arrangements for both local and foreign affairs
Monitors incoming and outgoing correspondences ensuring that all documents are documented/logged
Handles purchases for office supplies, materials, and small office equipment by contacting suppliers, requesting quotations, and preparation and processing of Purchase Request and Authority for Expenditure
Strong analytical and planning skills;
Good communication and presentation skills;
Excellent problem-solving skills;
Business acumen, Analytical, critical thinking, and solutions-focused problem-solving abilities
Confidentiality, good judgment, and diplomacy for matters that are highly sensitive in nature
Time management, organization, decision-making, and administrative skills
Ability to analyze and improve processes, protocols, and procedures
Ability to build relationships and liaise with diverse team members and partners
At least two years' experience in technical assistant work or any related field (preferred but not required)
Bachelor's Degree in Business, Engineering, or any 4-yearrelated course
