Job Description
JOB SUMMARY:
The Systems and Compliance Specialist is responsible for facilitating inbound and outbound flow through the ERP system, providing compliance support and process liaising between Accounting and Supply Chain Analytics to ensure accuracy of information and management and process controls.
This role is responsible for monitoring key controls around physical inventory; execute and report on inventory confirmations and physical inventory results; proactively identify risk areas and recommend solutions. In addition, compiles the overall KPI data for inbound and outbound into reportorial output per month will also be undertaken by the Specialist or assigned process owner.
He/She will act as the primary point of contact and reference for all Logistics business system questions such as Transport RFP, Inventory System Inbound outbound and Warehouse WMS.
DUTIES AND RESPONSIBILITIES:
Ensure that all inventories, materials are received, maintained, transferred and counted in accordance with established policies and procedures.
Reviews inventory and transport data for accuracy and compliance with all inventory processes, policies and procedures.
Validates and analyzes stock levels, demand patterns and inventory level and provides support to Supply Chain Analytics Team in the sales and operations planning.
Provides report on inventory turns, and status (slow-moving / aging inventory, obsolete and damaged inventory) to concerned departments (i.e. Accounting, Procurement, Operations, etc) for appropriate disposition.
Coordinates all physical inventory warehouse preparation and cutoff activities as required. Manages system requirements and control desk functions, resolve variance, and performs all final reconciliation requirements.
Flags non-compliance by analyzing documents, investigating and reporting inventory discrepancies to identify reasons for variance; Monitors any untraced inventory variance and reviews trends. Leads explanations for unusual variances to Accounting and management team.
Analyzes business data and control risk indicators related to systems across all Logistics Operations to identify potential deficiencies, training opportunities, compliance issues and potential fraudulent activity.
Assists supervisors and specialist in resolving inventory issues, performs inventory adjustments, maintaining quality control standards, and completing special projects esp cost and quality related
Provides timely and accurate response to internal and external teams specific to required counts, balance on-hand and analysis. Initiates communication to resolve errors.
Compiles, verifies and reports daily and/or periodic statistical information aimed at detecting trends to improve and maintain the overall Logistics Operations and Macro and non-Macro materials Inventory Management
Helps address knowledge gaps (resulting from turnover, change in process or remediation plans) and troubleshoot technical or process issues as they arise.
Measures and monitors data for process improvement;
Identifies and communicates opportunities to improve efficiency of inventory management. Provide recommendations for innovation and improvements to all inventory processes, procedures and controls;
Actively participates in creating and implementing improvements.
Proactively collaborates with other departments in achieving inventory related goals.
Performs tasks in support of warehouse capacity planning and optimization, as assigned
Other Tasks
Maintains files of logistics documents and records in compliance to the quality management standards.
Ensures compliance to food safety and quality standards set by HACCP, GMP & ISO;
Performs other related activities that may be assigned by immediate superior.
Qualifications
EDUCATIONAL REQUIREMENT:
Bachelor's degree preferably in Industrial Engineering or Accounting Graduate.
WORK EXPERIENCE REQUIRED:
At least 1 - 2 years experience in Supply Chain or Warehousing / Logistics
CRITICAL SKILLS OR COMPETENCIES REQUIRED:
OTHER COMPETENCIES REQUIRED:
Ability to prioritize and has attention to detail, thorough in completing work tasks;
Has a great focus on accuracy, completeness, and value-add for assigned tasks which leads to providing excellent customer experience;
High aptitude for learning and champion effective collaboration;
Excellent interpersonal and communication skills - verbal and written are required.
Deadline oriented and ability to multi-task;
Independent / flexible problem solver;
Excellent written and oral communication skills;
Proficient computer software and data processing skills; esp on excel or googheet
