Sr. Vendor Management Specialist will be responsible in the design, implementation, periodic review of procurement policies and procedures, managing Purchase Orders (POs), monitoring served and unserved POs, and ensuring timely follow-through of any pending POs. Additionally, will be the main liaison with sub-contractors, maintaining excellent professional relationships while understanding the technical requirements of operations and support departments.
Duties and Responsibilities:
Assist in the design, implementation and periodic review of procurement policies and procedures.
Manage Purchase Orders (PO), monitors served and unserved POs and ensure timely follow through of any pending PO.
Liaise with sub-contractors and maintain excellent professional relationship.
Understand technical requirements of operations and other Support Departments and regularly communicate with them for any provisional requirement
Meeting with suitable sub-contractors to assess their capabilities, inquire about their services, negotiate pricing, and communicate any concerns.
Conducting research on available vendors to determine which vendors offer the best pricing and product quality.
Implementing sub-contractor selection programs based on the process of vendor accreditation to ensure that the best sub-contractor is secured.
Must able to source out vendors effectively and efficiently.
Ensures that the most fitting vendor is chosen for the project taking into consideration the technical requirements, client requirements, budget constraints and project profitability.
Conducting interviews with new sub-contractors and informing approved sub-contractor of their responsibilities and obligations.
Establish standards by which to assess the performance of approved sub-contractors.
Obtain agreement between end user, vendor, VMO, and ESCA management for every sourcing or procurement transaction.
Work out proposals with vendors based on end user timeline, and at the same time gain trust of both end user and vendor.
Implements good timing and carefully calculated strategies when bargaining proposals to vendors, especially for high value proposals/projects.
Spot hidden agendas that might interfere the resolution of terms, or even in choosing a particular vendor.
Presents and/or relays information correctly and accurately to vendors, immediate superior, other members of the Department, and stakeholders. Ensures that information presented is clearly understood by everyone.
Maintains an open communication with vendors, immediate superior and all members of the Department. Initiates discussions with vendors and the team for any concerns and issues to be resolved.
Ensures that immediate superior is informed on any discussion or dealings with vendors and any stakeholders. Ensures all items/concerns/issues raised by any vendor or stakeholder are accurately passed on to immediate superior.
Collaborate with Department Heads to develop accurate Statement of Work to include business requirements, milestones, timelines, and vendor/business deliverables.
Identifies potential problems on proposals entered into and/or with the vendor engaged with the project. And also, being able to identify solutions for such problems
Resolve issue at his level and decide on the necessary course of action. If cannot be decided on my level, then be able to raise to immediate superior with recommendations.
Remain objective when dealing with critical issues, and be able to objectively review facts and weigh available options for decision making.
Adapt to new processes/procedures with the aim of providing better output.
Maintains and monitors a pool of vendors and will be able to deploy vendors based on urgent client requirements.
Other task that may be assigned from time to time.
Required Education, Skills, and Qualifications:
Bachelors Degree of any Business course.
A graduate of BS-CE is an advantage
With at least 5-10 years of experience in the related field
Proficient in MS office application
Excellent written and oral communication
Excellent interpersonal skills
