PROPERTY ADMINISTRATOR
Duties and Responsibilities
 
A. Property Operations
Monitor the upkeep and maintenance of common areas, facilities, and amenities.
Coordinate with contractors, service providers, and maintenance personnel to ensure timely completion of repairs and preventive maintenance activities.
Inspect properties regularly to identify and address issues related to safety, cleanliness, and functionality.
Oversee the proper implementation of house rules, policies, and community regulations.
B. Homeowner Relations
Serve as the primary contact person for homeowners and residents regarding inquiries, requests, and complaints.
Ensure that all concerns are handled promptly, professionally, and with a focus on customer satisfaction.
Facilitate regular meetings or coordination activities with homeowners' associations (HOAs) when applicable.
Assist in the dissemination of community announcements and circulars.
C. Administrative and Financial Support
Maintain accurate records of property-related documents, reports, and correspondence.
Prepare and submit periodic property reports, including incident reports, maintenance logs, and activity summaries.
Assist in the monitoring and collection of association dues, rentals, and other community-related payments.
Coordinate with the accounting team for billing and reconciliation of expenses related to property operations.
D. Compliance and Safety
Ensure compliance with local government ordinances, health and safety standards, and company policies.
Monitor security and sanitation service providers to ensure consistent and quality performance.
Participate in emergency response and risk management initiatives within the property.
E. Coordination and Support
Collaborate with the Property Admin Supervisor and Manager for project planning, policy updates, and operational improvements.
Support the implementation of community programs, events, and other property-related initiatives.
Represent the company in meetings or inspections as needed.
Qualifications
Bachelor's Degree in Engineering
At least 1 year of relevant experience in property management, community administration, real estate operations, or customer service.
Strong interpersonal and communication skills, with the ability to interact professionally with clients, residents, and colleagues.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and capable of handling administrative systems.
Highly organized, detail-oriented, and able to multitask effectively under minimal supervision
