The successful candidate will be reporting to the Organizational Management Supervisor and will be responsible for the evaluation of employee movements based on assigned accounts or AOR, maintenance of employee database, different manpower reportorial requirements or statistical data, and updating and safekeeping of organizational charts. The position is also responsible for the maintenance and improvements of the Employee Induction Screen (employee movements module) in the current HR system.
Tasks 1: HR SYSTEM
Maintains the Employee Induction Screen of IHRA, continuously identify areas for
improvement and recommends applicable enhancements or process simplifications
to increase system efficiency;
Performs all system mapping related tasks of the division in relation to processed
employee movements;
Coordinates with HR Solutions team on any encountered issues and provides necessary
inputs/recommendations where necessary;
Collaborates with regional counterparts on any changes or system improvements to be
implemented across regions for standardization and uniformity of actions.
Tasks 2:EMPLOYEE MOVEMENTS
Establishes validity of the employee movements in view of optimizing the deployment of internal resources;
Collaborates with HR Business Partners and recommends the proper employee movement with strict adherence to corporate policies and guidelines. Ensures the completeness of the required documents and validates vis-à-vis the stated criteria in the internal movements policy;
Prepares all necessary documentation relative to the movement, secures approval of
appropriate approving authorities, and notifies the concerned employee;
Performs updating of employee records in the system based on the type of movement.
Tasks 3: EMPLOYEE DATABASE MANAGEMENT
Collaborates with regional counterparts for data collection and close monitoring of
employee movements;
Regularly updates employee database and checks data accuracy;
Provides regular employee movement reports to concerned divisions within and outside HRTO (as applicable), for common reference;
Generates manpower reports, inventory, and staffing requirements and provides manpower-related data to NGCP internal and external customers as needed;
Maintains and monitors the central database for PRC ID/Licenses/Certificate of Registrations;
Submits regular report to HRBPs and regional HR Managers for information and reference as to compliance of employees concerned under their respective accounts/regions.
Tasks 4: ORGANIZATIONAL ENHANCEMENTS
Provides data and administrative support to HR Business Partners during creation,
review, and enhancements of organizational structure;
Coordinates 'costing' related matters with Performance and Rewards team;
Prepares final packaging of the enhanced organizational structure and endorses to Corsec for the approval of the TO Board;
Secures TO Board approval documents from the Office of the Corporate Secretary,
coordinates with Finance for Cost Center updating, and updates organizational charts; and
Synchronizes the enhanced table of organization with the employee database.
Requirements:
Bachelor's Degree in Psychology or related fields, Industrial Engineering, Information Technology, or any Business Management Course
At least 2 years of HR or related/equivalent experience in an operational or generalist role
Highly proficient in MS Office applications
String background in database management and report data/analysis
Good oral and written communication and interpersonal skills
Strong collaborative, organizational skills, and works effectively will all levels of organization
