Work Setup: Work-from-OfficeLocation: San Fernando, PampangaThe Operations and Compliance Officer will ensure that our day-to-day business activities run smoothly while making sure the company follows all required policies, procedures, and regulations. The candidate will manage operational workflows, maintain accurate records, support invoicing and reporting, monitor compliance standards, coordinate with internal teams and contractors, and help identify and resolve issues to keep operations efficient and compliant.Job Duties and Responsibilities:Transport & Operations Management * Use Transvirtual TMS daily to manage, update, and maintain all transport and job-related information.
Ensure system data is consistently accurate, complete, and up to date to support smooth operational workflow.
Upload Proof of Delivery (POD) documents promptly and verify completeness.
Allocate daily transport jobs to contractors nationwide.
Monitor job progress closely, identifying delays or discrepancies and taking proactive steps to resolve issues.
Support broader operational coordination by assisting team members with system-related tasks, documentation, and process improvements.
Compliance & Regulatory Responsibilities * Complete weekly AUSTRAC reporting online, ensuring full compliance with regulatory requirements.
Assist in preparing documentation for BAS (Business Activity Statement) submissions and maintain accurate financial records.
Manage superannuation obligations and ensure adherence to legislative requirements.
Support payroll processes to ensure all employee payments are accurate, timely, and fully compliant with employment regulations.
General & Financial Administrative Support * Create Australia Post labels for clients using the AusPost online system.
Maintain organized records and documentation to support operational transparency and compliance.
Contribute to continuous improvement by identifying inefficiencies and recommending process or system enhancements.
Prepare and issue weekly client invoices every Friday by midday using Xero accounting software.
Follow up on outstanding payments or invoice discrepancies as required.
Qualifications: * Experience in transport, logistics, or operations, preferably with TMS platforms (Transvirtual experience is a plus).Strong understanding of compliance processes such as AUSTRAC reporting, BAS preparation, payroll support, and superannuation.Proficient in administrative and financial tasks, including invoicing and record-keeping (Xero experience preferred).Excellent attention to detail, problem-solving skills, and ability to monitor and resolve job or delivery issues.Strong communication skills and the ability to work independently while supporting broader operational tasks.Tools & Software:
