Position Title: Mortgage Broker Assistant AUSTRALIAN MORTGAGE
Location: Office based, BGC Taguig
Key Working Relationships:
External: Australian Banks, Law Firms, Valuation Firms, Real Estate Agents, Accountants, Other Professional Services
Internal: Brokers, Firm management
Role Purpose:
Back-office loan support for preparation of applications and loan maintenance up to lodgment of applications with the banks. The purpose is to free up time of client facing staff to focus on client interactions and problem solving to add value to the client experience. The work involved is all the administration support prior to submitting a loan application as advised by the Mortgage broker in Australia.
Responsibilities, Objectives and Deliverables
1. Client Onboarding - To ensure that all clients are onboarded following the onboarding documentation and compliance process.
New client file management:
- Send introduction emails
- Send supporting documents
- File returned documents according to file conventions (save and re-lable if necessary)
- Use Excel spreadsheets or google sheets
Document Management and file preparation
- Compile documents into document filed
- Data entered into the system where all compliance documents are generated
- Take client information i.e., basic data required
- Run an initial servicing check i.e., with assets and liabilities
- Make an initial high level due diligence based on assets and liabilities
- Send Client welcome packs
2. Client Maintenance - Perform ongoing administration for clients who have been onboarded, all compliance paperwork once the Analysts decide on strategy and lenders to submit applications to.
- Respond to company & client emails
- Run a property report on any property as requested
- If requested, call Real Estate Agents, and Lawyers following gup contracts of Sale, Lease reports, Rental statements i.e. all documents required to complete an assessment
- If requested, call the accountant and request tax returns
- Preparation of client emails and cover letters
- Enter all Data into Apply Online and ensure its accuracy
- Go through checklists based on the client strategy, check information gaps on behalf of analyst, prior to client meetings
- Phone enquiries and follow-up calls to clients and lenders
- Send loan docs to client
3. Post Settlement - Complete post settlement servicing and client relationship management administration tasks
- Downloading, saving loan docs on client files
- Double check that compliance documents are uploaded to system
- Order client gifts online if required
- Ensure client database on is updated and accurate
- Close out files
Experience and Qualifications
Desirable:
· Support role in Finance / Home Lending Experience: Australian mortgage broking organization
· Industry Specific Software Experience -, NextGen, Valex, Bank systems
· Phone based experience following up professional service providers
Essential:
· EXPERIENCE in a client-services, and / or professional services role for AUSTRALIAN companies
· Lending, Loans/Credit background or experience in bank or a residential mortgage lending firm
· Problem Solving Skills, especially numeral
· High attention to detail, particularly in data entry
· Excellent computer skills
