Description
JOB SUMMARY: HR Specialist is involved with recruiting, supporting, and administering employees through company's policies/procedures/guidelines and managing the HR processes. Their main responsibilities also include developing compensation and benefits packages, maintaining employee records, and recruiting new employees. Help guide employees through all human resources procedures and answer questions about policies, administer benefits, process payroll, and ensure that all human resources functions comply with local regulations.
TASKS:
Handling recruitment process, onboarding
Organization structure and planning
Build and maintain HR policies
Administer employee compensation and benefits program
Administer employee training and development programs
Employee files/records, maintaining employee legal status
DUTIES & RESPONSIBILITIES:
HR Service Administration and System
Prepare and issue new employee contracts and contract renewals/variations.
Administer the coordination, processing and data entry of all paper and electronic HR transactions against quality standards and agreed timeframes.
Provide initial point of support to employees on HR systems
Monitor and respond to telephone and HR mailbox queries and provide advice, guidance and support to both managers and employees across all aspects of the employee life cycle, escalating where appropriate.
Administer and support the implementation of changes or modifications to HR systems and processes to ensure they are fit for purpose.
Coordinate the production and development of management information for the purpose of producing HR reports and metrics used by the business.
Coordinate and undertake auditing of employee files for the purpose of accuracy and correctness against standard processes, delegations and business requirements.
Provide support for payroll and related functions like attendance, absenteeism, etc.
Manage HR systems and databases for the provision and management of HR transactions ensuring accuracy of records and information.
Ensure the creation and ongoing management of local working instructions for all internal process and procedures.
Contribute to the development and review of HR Policies and Procedures.
Ensure the quality and compliance of HR documentation with appropriate storage.
Recruitment and Selection
Providing advice on position descriptions, advertising content and options for publication, utilizing different sourcing strategies.
Placing advertisements in the chosen media.
Monitoring the applications mailbox and forwarding screened applications to recruiting managers.
Coordinating recruitment activities including scheduling interviews, performing reference checks, managing correspondence during the recruitment process and all associated tasks and administration.
Contributing to the development and delivery of a standard corporate induction and on boarding program to all new staff.
Learning and Development
Organize learning and development training sessions as required.
Coordinate information sessions for employees with external providers such as salary packages, other benefit related organizations.
Maintain and update employee personnel records on HRIS with learning and development activities and compliance details.
Publish and maintain the annual training and events calendar.
Other HR Functions
Co-ordinate administration processes for probation reviews, performance development reviews, employee visas/iqama renewals, medical insurance applications/renewals.
Ensure compliance with all relevant legislation, service standards and contractual obligations.
Ability to help develop, implement, support, and review all Human Resource department initiatives, policies, procedures, and systems.
Provide training and oversight on policies and procedures.
Continued involvement in and refinement of the recruitment process, including generating job descriptions, posting advertisements, and managing the hiring process.
Strategic development skills to develop and evaluate onboarding plans.
Participate in performance evaluation processes.
Managing various governmental websites linked to employment rules for Saudi nationals and expatriate.
KNOWLEDGE, SKILLS, ABILITIES, OTHER CHARACTERISTICS
Knowledge of: strong working knowledge of HR functions and procedures (e.g. pay and benefits, recruitment, training, and development).
Language skills: Good verbal and written communication skills, with knowledge of written and spoken English
Computer Skills: Knowledge of varied HRIS and/or ERP software, MS Office tools.
Ability: to be organized, analytical, logical and numerical, meet deadlines, maintain employee focus, organize own tasks and work to tight deadline, work on own initiative and as part of a team.
Education: Graduate/Masters in HR or related discipline, certifications in HR or associated field.
Experience: Minimum 3 years of experience in HR and related functions.
Personal Requirement: Passionate about work, possess integrity, good health and grooming, good moral character and right conduct. Ability to work under stress and changing circumstances. Willing to work extended hours and to attend to emergency cases.
