JOB QUALIFICATIONS:
Two (2) years of experience as Front Office Associate.
Bachelors College Degree in Business Administration, Tourism/Hotel and Restaurant or other related courses.

JOB DESCRIPTION:
1. Administrative Functions
1.1. Compliance to governmental permits and licenses. Ensures that all pertinent permits and certifications are up to date.
1.2. Ensures that all files, forms, and other documents are filed in an orderly manner and are ISO compliance.
1.3. Keep and updated names, addresses and contact numbers and relevant information regarding landlords, tenants, clients, contractors, and other persons related to the property.
1.4. Prepares/assists in making reports, violation notice, memorandum circular and other internal/external correspondences.
1.5. Supply and Inventory Management. Ensures that all consumables (office, pantry, technical, medical supplies, etc.) are monitored through Supply and Inventory Monitoring.
1.6. Asset Tagging. Ensures that all assets are properly tagged and monitored through Master Asset Inventory.
1.7. Ensures that all meetings are properly coordinated to avoid schedule conflicts.
1.8. Records, transcribes, and disseminates meeting minutes.
2. Front Office Associate
2.1. Smart, project professional appearance and maintain the reception area clean and organized.
2.2. Manage calls, provide information, and log/endorse concerns of tenants/landlords/clients to the responsible person.
3. Procurement Process
3.1. Prepares/Assists in the preparation of Purchase Requisition, collation of quotation or Abstract of Bids, and Purchase Order.
3.2. Coordinates the status of Purchase Order to the vendor or landlords authorized representative.
3.3. Monitors and checks the delivery of items procured and secures/endorses the invoice to the Admin/Finance Department.
4. Financial Operations
4.1. Proper handling of PCF and ensure that all documents are attached accordingly (if applicable).
4.2. Ensures that PCF is always intact (if applicable).
4.3. Monitors operational expenses incurred onsite.
5. Vendor Management
5.1. Collates/Assists in all documentation pertinent to building vendors.
5.2. Assists in monitoring building Operations/Facility for the 3rd party service providers (security, housekeeping, pest control, and other vendors related to operations).
6. Technical Operations
6.1. Make a brief inspection of the building/facility and take note all observations and discuss with the immediate head.
6.2. Ensures that 52-week Calendar is monitored and accomplished in a specified target date.
7. Health and Safety
7.1. Assist the Technical in monitoring the 52-week calendar and ensure Technical Checklist are up to date.
7.2. Emergency Preparedness and Response Plan. Familiarize your role in ERP. Ensures that ERP is coordinated with tenants/clients.
7.3. Prepares/Assists in preparing Safety Report.
8. Tenant Relations
8.1. Assists client viewing for leasing aspect.
8.2. Deliver excellent customer service and establish rapport and exhibit proper conduct in dealing with tenants, guests, and clients.
9. Business Development
9.1. Set regular catch-up meetings with landlords, tenants, and other stakeholders. (Catch Up is aligned with the Immediate Head)
9.2. Customer Survey Ratings of Landlords. Ensures that PM/FM provides the best quality of service to the landlords. Creation of a mutually beneficial business relationship.
9.3. Customer Survey Ratings of tenants. Ensures that PM/FM provides the best quality of service to the tenants. Creation of a mutually beneficial business relationship.
10. Operational Enhancement
10.1. Suggests ways to streamline the administrative process to offer the best service to the clients.
11. Personal Development
11.1. Participates actively in KMC activities such as corporate meetings, trainings, social affairs, and other company activities.
12. Others
12.1. Perform other related works that may be assigned by the Management.
