Duties and Responsibilities
I. Prepares media and production billings
1. Receives from Media Department copies of Media Cost Estimates and Media Orders and from Traffic Department copies of Production Cost Estimates
2. Encodes in Finsys Print, Cinema and Non-Trad Cost Estimates and Media Orders
3. Posts Media Order details to the Billing Subsidiary Cards
4. Checks and validates suppliers invoices against CEs and Mos.
5. Checks if suppliers' invoices have the following supporting documents: a) For print - tear sheets b) For TV and radio - certificate of performance.
6. Checks and validates versions aired/placed versus Media Orders
7. Encodes suppliers invoice to the Finsys and to the Billing subsidiary Card.
8. Process and prints bills
9. Attach suppliers' invoices to bills, check and verifies accuracy of the bill against the attached invoices.
10. Submits bill to Billing Supervisor for approval
11. Posts bills to tracer sheets and transmits to the Accounts Executive in-charge for signature
12. Prepares transmittal sheet and transmits bills to client.
II. Other responsibilities
1. Prepares Return Suppliers Invoice Summary to be sent back to suppliers.
2. Prepares monthly summary of unbilled media charges
3. Prepares Notices of Unbilled Media Charges to suppliers
4. Prepares the monthly Client Expenditures Report for assigned clients
