The Role Responsibilities Managing calendar Set-up meetings, ie. conference calls or Video Conferencing (VC) with participants providing regular status updates of acceptances / declines, including any meeting room / VC room bookings. Monitoring any meeting clashes for upcoming meetings and rescheduling if required. Ensure meeting has an agenda and any meeting materials are shared ahead of the meeting. Remind participants ahead / prior to the meeting, including the production of any missing material. Arranging business travel Booking flights and hotels via Carlson Wagonlit Travel (CWT), using the Group&rsquos preferred airlines / hotels according to policy. Check on visa requirements and do the necessary applications whenever required. Arranging airport transfer, overseas building and office access, desk / office and do complete online overseas visitor&rsquos log if necessary. Discuss, plan itinerary and arrange meetings with key stakeholders and team members as appropriate. This includes ensuring there is a point of contact onshore for all matters and this contact information should be entered into calendar for easy tracking. Processing expenses claims Prepare business travel expenses claims in a timely manner, ensuring all expenses comply with the Group Expenditure Policy (GEP), highlight any items that are outside of GEP for correction prior to submission for approval. Follow up with approver if the submitted expenses have not been approved within a reasonable timeframe. Check Travel & Entertainment (T&E) claims are within policy and approve on behalf of business head (when applicable). Dealing room management Ensure joiners / leavers checklist is properly executed in a timely basis. Internal logistics coordination: Floor access, desk requests, desk moves etc. Eg. feeding into monthly move coordinated by DRM, obtaining all necessary documentation for raised desks / other adhoc requests. Ensure SG dealing room information is properly cascaded when required. Vendor management This includes liaising with vendors for provision of services (event set up etc) as well as payment of invoices. General Administration support Managing approvals on behalf of senior leaders where delegation is permitted. Raise IT ticket and liaising with tech support to resolve any IT issues. Organising team on sites / offsites, client events, and social events, including the booking of venues, catering, tracking attendances, etc. For offsites, ensure any presentation material is prepared and distributed ahead of the meeting. Remind teams on mandatory e-learning / bespoke training opportunities relevant for Continuing Professional Development (CPD) hours. Tracking block leave, team leave, P3 Documents. Ensure any important electronic / paper documents are properly filed / archived in a systematic way. Setup / coordinate group breakfast / lunch sessions (as required) between overseas visitors and onshore staff under the FM My Voice action plan. Support country / business thematic initiatives Eg. reduce printing Managing Key Stakeholders Build trust with internal and external stakeholders. Effective and concise communicator (spoken and written) with key stakeholders, both internal and external. Establish positive professional working relationship gaining full support and cooperation from staff at all levels. Conduct Must comply with the highest standards of regulatory and business conduct and practices as defined by internal and external requirements, Group&rsquos policies and procedures and the Group Code of Conduct. Must possess the highest level of integrity and the ability to handle confidential information.
