Responsibilities
Responsible for organizing and managing the schedules and communications of a Director
Efficiently handle emails, phone calls, and gather documents in preparation to meetings
Act as the main point of contact between the executives and internal/external colleagues
Make travel bookings and accommodation arrangements
Write in-detail minutes during meetings
Manage information flow in a timely and accurate manner
Maintain comprehensive and accurate records with confidentiality
Work on required reports and presentations
Provide necessary administrative assistance
Other related tasks that may be assigned
Qualifications
4 to 5 years of relevant experience in an Executive Assistant role
Strong oral/written communication skills required to interact with senior officers and representatives
Excellent meeting planning and organizational skills (planning, coordination, priority setting, task management and follow through)
Ability to manage complex work situations with sound judgement, discretion, and empathy
Amenable to do Personal errands for the Director if urgently required
Highly collaborative and results-oriented
Proficiency in MS Outlook, MS Office such as but not limited to Power Point, Excel, Word
Strong interpersonal skills and ability to work effectively across cultures. Excellent English written and verbal communication skills
Flexible on shift and overtime may be required when business visitors are on site
