About the Role:
Role: Executive Assistant/Operations Associate
Work Schedule: Full Time | 40 hours per week | Monday to Friday | 9:00 AM - 5:00 PM EST
Salary Range: $1,000.00 - $1,500 per month
Job Description
Our client is a webinar software and content platform that enables modern marketers to seamlessly design, host, and repurpose their virtual events and webinars.
We are seeking a highly motivated and detail-oriented Executive Assistant / Operations Associate to provide comprehensive support to the executive team of our client. This role requires a proactive and adaptable individual who can handle various administrative tasks efficiently in a fast-paced environment. As the EA/Ops Associate you will be responsible for managing calendars, coordinating meetings, preparing reports, doing research, and managing projects within the organization.
Key Responsibilities:
Your primary responsibility will be to provide comprehensive administrative support, ensuring the smooth day-to-day operations of the executive team. These include, but are not limited to:
Email Management and Upkeep: Efficiently filter and manage emails, ensuring priority communications are highlighted.
Research: Perform in-depth research on diverse topics, offering comprehensive insights. Tasks include finding optimal locations, price comparisons, researching the Puerto Rico market, and verifying information.
Booking and Scheduling: Efficiently manage calendars, appointments, and meetings. Post daily client events on the calendar and communicate daily items to the engineering team via Slack.
Task Management: Check and process VirtualPostMail documents. Organize tasks, prioritize activities, and ensure deadlines are met.
Project Management: Assist in project planning and execution for timely completion. Examples include handling ad hoc projects such as researching or listing subscription end dates. Note: the successful candidate must be pretty thorough in providing clear instructions and task direction when assigning projects.
Process Improvement: Identify and suggest improvements to streamline operations. Percentage-wise, a significant part of the workload involves process improvement. We value a communicative approach, seeking someone proactive in providing feedback on their operational insights.
Other Operations Support:
Review and respond to incoming Zendesk tickets, check on the status of outstanding items
Review new invoices and push them through to clients
Mark invoices paid outside of Slack
Slack Weekly Sentry reports to engineering
Submit investor documents as requested
Review expenses live incoming and in monthly statements
Submit pay runs for approval and process upon approval
Process customer payments and checks
Respond to Verification of Employment requests
Support our operations team in areas like marketing, partnerships, onboarding, and other cross-functional collaboration and coordination
Immediate Tasks on Week 1:
Master the Welcome Website
Demonstrate proficiency in creating test events and navigating the event dashboard
Efficiently source and schedule daily and weekly client events
Navigate Slack channels and post updates for Engineering (Weekly Sentry, Daily Events notices)
Understand the roles of company principals
