WHAT THIS POSITION IS ABOUT - PURPOSE
The incumbent will be responsible for the following:
Act as the DTC coordinator in terms of program routing for approval and tracking of approved program budget.
In charge of coordinating the program spending and reconciliation of the same to the DTC team.
Ensure administrative support, reporting and professional communication between DTC and other departments.
WHAT WILL YOU DO - RESPONSIBILITIES
Maintain a filing system of all Programs per region, recording of PB budget, checking for completeness/correctness of the program POP versus billing statement, tracking of spending and coordination of such with the DTC team.
Act as the single point of contact in terms of Project Brief approval and dissemination of the approved program to concerned persons. Coordinate and compile the closure report with the stake holders (ABAM, BAE, FMM, FAE, DP Compliance & Internal Control-Finance)
Responsible in creation and management of PR/PO for all program originating from DTC team.
Conduct a periodic DTC audit in terms of the PB documentation, Proof of Performance versus billing statement and reporting of non-compliance to ABAM and BAM.
Coodinate with FM designated person, make appointments and organize meetings including travel and hotel arrangements internally for DTC group.
Ensure administration and monitoring of Direct-to-Consumer operational budget and expenses together with ABAM and BAM. Monitor expenses versus budget and tracking proper cost allocation into cost centers. Create purchase requisitions (PR) for all acquisitions of products and services, purchases for field force and ensure proper internal documents flow.
Incumbent will respect actual legislation, company procedures and working instructions. Employee will comply with JTI Policies and J-SOX controls.
Perform any other tasks given by Brand Activation Manager.
WHO ARE WE LOOKING FOR - REQUIREMENTS:
Bachelor's Degree or equivalent
2-3 years experience in a similar position in a FMCG company.
Basic knowledge of office administration and marketing would be an advantage.
Good written and verbal English communication skills
Proficient in MS Office Applications (MS Word, MS Excel and PowerPoint); preferably with knowledge in SAP is a plus.
