BUILDING ADMINISTRATOR AND SALES OFFICER
 
JOB SUMMARY
 
The Building Administrator and Sales Officer is responsible for overseeing the daily operations of the building, managing tenants relations, coordinating leasing and sales activities, and ensuring proper administrative, financial, and facility support. The role serves as the primary liaison between tenants, property management, and internal departments, while also leading initiatives to enhance building operations, appearance, and tenant experience.
 
DUTIES AND RESPONSIBILITIES
 
Key Responsibilities
 
Building Operations & Facilities
Supervise daily building operations and overall facility condition.
Coordinate with engineering, maintenance, housekeeping, and security teams.
Monitor and resolve tenants and common area concerns.
Represent management in handling operational incidents and escalations.
Tenant Relations & Communication
Serve as main point of contact for tenants.
Prepare and issue memos, notices, and operational updates.
Maintain updated tenant directories and coordinate with front desk/security
Address inquiries regarding Rent, Utilities, and CUSA.
Leasing, Sales & Fit-Out Coordination
Manage leasing inquiries, applications, and approvals.
Prepare Contracts of Lease and close leasing/sales transactions.
Monitor lease renewals, rent escalation, and CUSA increases.
Coordinate tenants fit-out, construction schedules and contractor meeting.
Accounting & Billing Support
Prepare invoices, deposits, and construction bond documentation.
Support billing processes and coordinate with accounting.
Assist in managing delinquent accounts and collections.
Draft formal notices and demand letters when necessary.
Administrative & Event Coordination
Maintain building records, documentation, and administrative files.
Manage shared space and function room scheduling
Coordinate events
Oversee building signage updates and aesthetic improvements
Provide general operational support across departments.
Perform other related duties as required.
Qualifications
Education: Graduate of any 4-year course, preferably Marketing, Mass Communication, or Industrial Engineering
Work Experience: 3-5 years of relevant work experience
Skills:
Strong written and oral communication
Excellent interpersonal and relationship-building skills
Computer literate (proficient in Google Workspace and Microsoft Office)
