This is a remote position.OVERVIEW:The client provides a professional bookkeeping service based in Australia, dedicated to supporting small businesses with accurate and efficient financial management. With over 70 clients and a fast-growing team of 7 staff, the company has also expanded into training bookkeepers, offering resources and support to help others in the industry grow. Known for teamwork, professionalism, and client-focused service, the company thrives on collaboration, especially during peak times of the year when everyone pulls together to meet client needs.The client is currently seeking a Bookkeeper & Administrative Support Officer to join its team. This role combines bookkeeping expertise with administrative and training support. The successful candidate will play a key role in reconciling accounts, maintaining financial records, managing shared inboxes, and assisting with training operations. The position requires someone detail-oriented, methodical, and proactive, ensuring accuracy and smooth delivery of both client and internal processes.JOB DESCRIPTION / RESPONSIBILITIES:BookkeepingReconcile bank accounts against invoices and bills in Xero, QuickBooks, and MYOB.Perform reconciliations of control accounts (e.g., client accounts, superannuation payable, wages payable).Monitor supplier statements and request missing invoices.Forward bills from inboxes into receipt management software (e.g., Dext).Support the Australian team with ad hoc bookkeeping tasks.Administrative SupportMonitor and manage shared inboxes, categorizing and forwarding correspondence.Assist with client onboarding by preparing required documentation and setting up accounts.Draft and send email correspondence as directed.Create and maintain client documents and templates.Training SupportPrepare weekly training slideshows.Extract, organize, and archive recorded training videos.Generate and format transcriptions.Use AI tools to create supporting documents from video content.File training materials for participant access.Set up and send calendar invites for training sessions.Onboard new training participants.Other DutiesComplete general administrative tasks assigned by the Australian team.Contribute to process documentation and improvements.Maintain confidentiality and accuracy of client and business records.RequirementsBASIC QUALIFICATIONS:We are looking for someone who has:Cert IV in Bookkeeping/Accounting (or equivalent qualification) -Experience working as a bookkeeper is a mustProficiency in Xero, QuickBooks, and MYOB.Familiarity with tools such as Dext, ClickUp, Tekmatics, Loom, and AI productivity toolsStrong attention to detail, methodical, and organized.Ability to manage multiple tasks, work independently, and meet deadlines.Strong written and verbal communication skills.Proactive, solution-oriented, and receptive to feedback.TYPE OF POSITION, PHYSICAL REQUIREMENTS, & EXPECTED HOURS OF WORK:Full Time PositionWork From Home Set upCan work between 9:00 AM to 6:00 PM AESTBenefitsSALARY AND BENEFITS:Salary: $7.50 AUDPaid Australian HolidaysPaid Time off BenefitsPermanent Work from HomeHMO after 90 days13th month pay bonusSupportive Team
