About the Role
Handles the secretarial and administrative requirements of the Office of Faculty Relations. Coordinates with the faculty members and staff on the requirements of the aforementioned departments.
Duties and Responsibilities:
1. Receives, coordinates and implements instructions of the superiors.
2. Maintains confidentiality of information and files at all times.
3. Manages and maintains superior's schedules and appointments.
4. Receives visitors and phone calls.
5. Attends to faculty concerns and ensures proper channeling of concerns to appropriate department.
6. Maintains an efficient and proper filing system.
a. Arrange 201 files of all faculty properly (unarranged files from previous)
b. Update Faculty database with daily information received
c. Creates individual excel file of faculty with papers in the 201 files
d. Proper filing of PAASCU files (excessive files from previous)
7. Prepares required department reports.
8. Assist superior in drafting and distribution of memoranda, schedules, notices of meetings and announcements.
9. Informs/ Follow ups/ reminds all concerned regarding related college activities, meetings, workshops and/or seminars.
10. Assists in the preparation of college - related activities such as assemblies, workshops as well as special meetings of superiors.
11. Coordinates with the Executive Assistant of the Dean in relation to College Activities, meetings and special instructions.
12. Monthly monitoring of Faculty Attendance (From Logbook & Biometrics)
13. Other duties assigned by the Unit Heads.
Others
1. Prepares and liquidates cash advances made by the department/unit.
2. Handles and monitors office supplies of the department/unit.
3. Assist in sorting faculty appointments.
Basic Qualifications
· The suitable applicant will have a strong background in administrative tasks and graduate from any four (4) year course.
· Preferably with an HR background
