Job Description
About the role:Seeking a reliable individual that can work full-time in a fast-paced office environment. A calm demeanor is ideal for this position as our daily demands and request from clients are constantly changing. Candidate must be able to prioritize task in order of importance and use time efficiently to complete daily task. This position requires that you use multiple computer systems simultaneously while following, tracking and auditing paperwork in a high-volume environment. You will be provided with an established process, templates and instructions that must be followed and are time sensitive. Basic mathematical or accounting knowledge preferred.
Tasks include but are not limited to:
Review emails and prioritize based on outstanding & new task.
Follow up on pending task or task that required follow up the previous day.
Read real estate contract for California and Texas.
Communicate with Agent, Buyers, Sellers, Escrow, Title & Lenders
Open new incoming transactions set up file in TC Docs, Skyslope, Calendar & establishing the files timeline based off of contract details.
Read California real estate contracts.
Send out introduction Emails
Manage calendar of critical dates for agents - Invite agent to calendar reminders
Send out follow up emails for paperwork & disclosures
Respond to emails
Audit files at 14 days prior to closing and 7 days prior to closing
Send Escrow TC invoice 5 days prior to closing
Close out files by uploading paperwork to Skyslope
Share final file with client/Buyer and/or Seller using DropBox
Move file in Livedrive from open to closed
Archive file In TC Docs
Follow up on payments for closed transactions
Send templated email to potential clients (list provided daily).
Manage list of potential clients. (no telemarketing required).
Qualifications
Ability to read, write and speak English.
Candidates must have strong grammar skills.
Fast learner and enthused to work
Self starter
Meticulous with details and in reviewing paperwork.
Computer literate and demonstrates the ability to effectively use multiple or new programs, such as but not limited to:
o Microsoft Word, Microsoft Excel, Gmail, Adobe Acrobat, DocuSign, DropBox, Livedrive, Skyslope, TCDocs, Connect, CB Desk, Zipforms, DigitalInk, Glide, Google Calendar.
Must be able to prioritizes tasks in order of importance and demonstrates the ability to adjust priorities as needed.
Shows interest in, anticipates, and responds in a timely manner to customer needs.
Completes work rapidly without foregoing accuracy and pleasantries.
Communicates ideas in writing and orally in a clear, concise, and logical manner.
