We are looking for a:
 
PURCHASING / ADMIN CLERK
 
Summary Job Descriptions:
 
Responsible for obtaining and managing sources of supplies for the products and services the company requires to operate and identify suppliers that offer the best services. Reports directly to Purchasing Manager or Accounting Head.
 
Job Tasks and Responsibilities as Purchasing / Admin Clerk:
Prepares accurate and complete purchase orders for supplies, materials and raw materials and goods
Reviews deliveries against the orders and tracks status of our orders
Collate purchase orders and purchase requisitions in order to order materials, goods and supplies
Support vendor relations and profitability by managing vendor relations and preparing bid request and contracts.
Maintains detailed records of purchases, including quantities, shipping information and costs associated with the purchase
Manage the company’s inventory levels to determine when new purchases are needed.
Interacts with the suppliers on a day to day basis.
Deal with non-supplied, under orders, over orders and damaged goods.
Ensures that any invoices are sent to accounts for payment.
Answer and direct phone calls
Undertakes all word processing that is required or do clerical works
Undertakes all filing as required
Maintain any diaries that are in the office
Arrange and attend meetings, taking minutes if necessary
Generally help out with smaller purchases, review and inventory matters.
Maintain contact lists
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
Organize and book  travel arrangements 
Other responsibilities not articulated here but deemed appropriate and needed by the company
