Puerto Princesa Forest Restoration Field Project Assistant

POSITION SUMMARY
The Field Project Assistant is responsible for administrative and project support for the Puerto Princesa Forest restoration initiative. They will provide general administrative support to the project/technical staff to help implement project deliverables. They will handle everyday project materials/documents. They will assist in project monitoring, compiling data, and drafting non-technical status reports; manage project documents/agreements and maintain files and tracking systems; liaise with and maintain good working relationships with staff and partners; respond to requests for information and otherwise help ensure they have the information necessary to implement project deliverables; provide logistical support for learning events including training seminars, conferences and assist with event communications, travel logistics, vendor oversight, etc; organize conference calls and project/team meetings; manage agenda, logistics, minutes, and reporting.
RESPONSIBILITIES
Technical:
Support and assist in the implementation of the Puerto Princesa Forest restoration initiative.
Assist in establishing a baseline and in monitoring seedling survival, tree cover change, disturbances, and community benefits.
Promptly respond to the needs of the project team to facilitate the implementation and completion of activities.
Prepare, maintain and update a directory of partners in Puerto Princesa City.
Facilitate the flow of necessary information between Puerto Princesa City office and Quezon City office, between CI and project partners.
Arrange meetings (online, face-to-face, blended), draft communications, help organize and conduct events, document meetings, and workshops.
Organize electronic documentation of project progress/milestones in support to project knowledge management.
Take note of lessons learned in liaising among various players, and report challenges to supervisor for immediate attention and action.
Coordinate project concerns with key partners, as directed by the Project Coordinator/Forester and Palawan Biodiversity Corridor Director.
Administrative
Perform general administrative duties for the project staff including but not limited to printing, photocopying, mailing (courier).
Facilitate procurement of approved items. Ensure proper storage of procured items.
Assist, when necessary, in the identification of and negotiation with local vendors and other procurement-related tasks for project activities conducted in Puerto Princesa.
Develop, maintain and update asset inventory list and records.
Ensure the daily upkeep and orderliness of the office.
Other related duties as assigned.
WORKING CONDITIONS
This position is based in Puerto Princesa City, Palawan, Phillippines.
Normal office environment.
Periodic travel to remote project sites for data gathering, documenting workshops/meetings/events, and administrative support to field activities.
Ability to work outside the normal work schedule to meet project deadlines.
QUALIFICATIONS
Required
High School or Secondary School education.
Up to 2 years work experience in project support, preferably in the conservation, NGO, or advocacy arena.
Proficient in MS word and excel applications, database, web research, online meeting platforms, and related skills.
Strong written and verbal communication skills in English and Filipino.
Detail-oriented and able to prioritize, manage and complete multiple tasks and meet deadlines.
Service-focused, courteous, tactful, and proven ability to work effectively with others.
Ability to work under general supervision and take initiative to solve problems under supervisor direction.
Ability to function well in a multicultural, diverse, and fast-paced work team environment.
Preferred
Bachelor's degree in Arts and Sciences.
