POSITION OVERVIEW:
The Policy Assembly Admin Senior Associate is responsible in handling sales partner inquiries and other stake holders. The role will also release requested policies of the clients, supervises in-house messengers and monitors policy deliveries by company's partner courier.
KEY RESPONSIBILITIES:
A. Policy Pack Assembly and Dispatch
Print policies saved on shared folder per Quality Assurance staff
Validate the number of saved PDF on shared folder versus the number of printouts
Sort printed policy packs for assembly of two in-house messengers.
Prepares transmittal documents for couriers and update Life Asia system based on the prepared transmittal per policy number
Count the number of delivered, returned policy pack and PAR; should be tallied on what have been dispatched the previous reporting day for messengers.
B. Return-To-Sender (Messenger/ Courier) safekeeping and monitoring
Record Return-To-Sender policy packs in monitoring status
Notify sales partners to include the following: a) reason for undelivered policy packs, b) request for new delivery address or instruction for delivery
C. Handle disposition requests
Handle notification or disposition requests within 24 hours upon receipt of the report
D. Records
Scan physical copies of signed Policy Acknowledgement Receipts received from the courier, messenger, and Branch Executives.
E. Handle New Business policy packs
Handle all inquiries/concerns in the New Business mailbox within the set process guidelines.
Safekeep hardcopies of documents and update Records Management team if documents are ready for archive.
G. Reports/ Monitoring
Monitor and supervise in-house messenger doing Policy Pack Assembly
Monitor partner courier's adherence to SLA
REQUIRED SKILLS AND EXPERIENCE:
Bachelor's Degree in any field.
At least 1 year of work experience in admin support or equivalent.
Experience in working with couriers is an advantage.
Communication: Able to communicate effectively in the English language written and verbal.
Problem Solving: Knows how to analyze and solve a problem at work.
Microsoft Office/ Excel: Knows the basic function of excel. Willing to learn more.
Monitoring Skill: Able to monitor volume and fast-moving transactions that will provide accurate information in reports.
