We are looking for a Supply Chain and Inventory Management Associate with 3-5 years of working experience to join our growing team.
You will be responsible for proactively processing purchasing orders and sales orders in an efficient and error-free manner.
The Supply Chain & Inventory Management Associate will help communicate with our 3PL warehouses in Asia and US, shipping agents and wholesale retailers, and
is expected to build strong working relationships with them.
It is expected to have daily communication with 3PL warehouse and shipping agents.
You will also be supporting any ad hoc sourcing projects.
You must be willing to work hard, learn quickly, be responsible and tackle challenges in a calm and effective manner.
What You'll Do:
Inventory Control & Management
1. 3PL management
● Checking of 3PL monthly maintenance fees, reconciling and analysis of shipping charges
● Communicate with 3PL on incoming goods, ensuring proper kitting instructions from Production Manager and Sales/Marketing Manager.
● Communicate with 3PL on repacking for shipping and able to understand freight requirements such as palletisation optimisation, CBM, HS code and shipping documentation
● Manage goods movement with logistic agent across different 3PL & manufacturers
2. Inventory Management
● Monthly data extraction & reconciliation of inventory goods in internal system and 3PL
● Keeping tracking of all goods movement in and out of 3PL with internal system, alerting Production Manager when low stock count
● Input monthly sales data into inventory forecasting model on DTC & W/S accounts
3. Shipping Management
● Creating shipping documents such as booking form, Commercial Invoice, Packing list to shipping agent and liaising with 3PL on proper documentation
● Understand implication of HS code and possible tax requirements
● Communicate with shipping agent on sea freight, air freight and courier with request from Production Manager and Sales/Marketing Manager
● Manage communication between shipping agent and warehouse for inbound/outbound delivery of goods
● Calculating cost of shipment and reconciliation of monthly shipping charges
● Monitor and update shipping status in a timely manner to Production Manager & Sales/Marketing Manager
● Negotiate with shipping agent on shipping cost & last mile delivery
● Provide analysis on freight charges across months to optimise ship route
● Coordinate purchasing orders from Production Manager, booking upstream shipping to warehouse / manufacturer
4. Supply Chain and Order Processing
● Support wholesale order fulfilment by manually entering and generating accurate sales orders into TradeGecko, create commercial invoice and packing list and ensure 3PL have all required information to process orders on time and accurately
● Support Shopify Sales by manually inputting any Asia Pacific based Shopify orders into our 3PL warehouse systems accurately and email our 3PL account managers to make sure orders are received and processed
● Receive 3PL information and input all shipping and tracking information back into our systems and excel sheets.
● Create shipping documents for Wholesale shipment outbound from 3PL
● Good knowledge of common goods refund processing with DTC and Wholesale. Able to follow company guidelines and make sound decisions for goods refund.
● Able to communicate with Wholesale retailers regards goods information such as import licence

The Qualities You Possess:
1. Superior communication skills are required for frequent interaction with Managers & external agent such as
3PL, shipping agent and wholesale retailers
2. Detailed oriented, organized and ability to work autonomously with a heavy workload and meet
deadlines.
3. Ability to establish and maintain effective interpersonal working relationships with internal/external
suppliers and fellow team members at all levels.
4. Ability to take initiative to problem solve, and suggest solutions.
5. Savvy with Microsoft Excel (V-lookup, IndexMatch) and have experience with Platform such as SAP/Tradegecko/Supplychain management tools
Daily activities
1. Receive PDF orders from Sales team (10+ orders a month) and log into Trade Gecko to create Sales Orders, commercial invoice and draft packing list in Trade Gecko
2. Input order into 3PL systems, obtain packing dimension and size and add information to finalize Packing List
3. Check Shopify for Asia and Australia orders (5-10 / day) and Input orders into 3PL Systems, receive shipping confirmation from 3PL via email, then input tracking information back to Shopify
4. Check with 3PL teams from time to time to make sure orders are being fulfilled
5. Coordinate and update from shipping agent on goods movement
Additional deteails:
Salary Package-13k-18k depending on experience for 4 hrs. of work
8am to 1pm Mondays to Fridays, Manila Time
Must have your own equipment with good internet connection
Options to switch to full time.
