JOB SUMMARY
Admin shall be responsible for performing clerical and administrative duties in an office setting.
Primary Duties and Responsibilities:
OFFICE MANAGEMENT
● Oversee and order office supplies, anticipating requirements, stocking supply stations, and making sure equipment is in working order.
● In charge of maintaining, organizing and improving offices.
● Shall be in charge of the following:
a. Meeting Management
● Shall be in charge of keeping the ballroom area presentable
● Shall organize and schedule meetings and appointments
● Responsible of recording minutes of the meetings
● Shall ensure the meeting devices are properly working.
● Shall ensure the ballroom would be cleaned, lights and other devices are turned off prior to closing it.
b. Visitors Management
● Welcome and assist visitors/guests in accordance with corporate service promises.
● Lead visitor/guest in the assigned meeting room.
● Offer refreshments such as bottled water or coffee.
ADMINISTRATIVE TASK
● Responsible for distributing correspondence memorandums, letters, emails and forms.
● Responsible for organizing the filing area and other documents.
● Responsible for monitoring the agency employees time logs.
● Responsible for payroll distribution of agency personnel.
● Shall coordinate Agency Company concerning employees.
● Responsible for collecting guest reservations and forwarded to the Batangas Municipality.
● Inventories of the following: Front Office Materials & Medicine, Wellness & Recreation materials in pool area, activities, spa and medicine supplies, Engineering supplies & tools, Admin first aid supplies.
OFFICE AUDIT
● Shall be responsible to conduct a yearly ASSET LIST audit to make sure that all assets are still in good condition and physically available.
COVERED SHIFT
● Performs tasks, duties and covered shifts of colleagues in their absence.
OTHERS
● Performs any additional instructions requested by the Managing Director.
