The HRSS - APAC Background Screening Operations Supervisor (C11) is a supervisory level leadership position responsible for monitoring operational objectives provided by the HR Shared Services - APAC Talent Acquisition Operations -Background Screening (HRSS - APAC - TAO - BGS) Senior Leadership Team.
In this position, you are expected to proactively monitor the productivity, performance, and quality of work delivered by BGS team members. As a supervisor, you are expected to be able to handle high level concerns and priorities with utmost care and adherence to compliance rules and standards. You must help drive the team to achieve set targets and deliverables. From time to time you will also be expected to support work at the level of BGS Coordinators. As such, you will be expected to understand how to and provide operational support including but not limited to; record/documentation maintenance, storage & retrieval of records, candidate and employee contact and follow-up, project management, liaising between other operations staff, relationship managers, project managers, custodians, internal partners, and stakeholders, and the daily completion of administrative tasks and reviews of assigned cases for background screening within the region.
BGS Supervisors are expected to be flexible both in work availability (i.e. ability to work shifts, attend calls in dates and times outside of regular shift, etc.) and capability. A BGS Supervisor must be able to handle any responsibilities in support of the Global Background Screening operating model. This will include handling specialized responsibilities such as leading projects or process improvement initiatives for the regional team, facilitating huddles, meetings, and one on one discussions, as well as, high level daily deliverables and unique responsibilities. BGS Supervisors are expected to the able to effectively partner with clients, vendors, and other stakeholders on a regular basis. All on top of the daily monitoring of team performance, performance coaching, and overall accountability over the actions of the team they directly supervise. The overall objective of this role is to provide day-to-day operational support in alignment with Citi operations support infrastructure and processes.
Responsibilities:
Consistently adhere to any and all compliance policies mandated in and around the background screening space. Be attentive to any and all regulatory requirements for the background screenings conducted in the countries supported in the region. Actively work to reduce any risk and control challenges by ensuring all required steps to complete an end to end background screening assessment is completed consistently. Ensure candidate confidential and sensitive personal information are handled with the utmost care and as aligned with Citi's Data Handling protocols.
Support your manager and members of the Senior Leadership Teams within your workgroup through proactive partnership and consistent, open, and healthy communication. Effectively partner with team mates and provide support to each other whenever needed.
Monitor the deliverables assigned to your supervisory organization and ensure the timely delivery of daily, weekly, monthly, quarterly, and yearly objectives.
Provide effective coaching and performance development conversations with team.
Provide insight on complicated situations with effective solutions with clear objectives that are realistic and immediately actionable.
Must be able to independently generate metrics and performance data from available reporting solutions.
Be able to review metrics data to understand and outline trends, opportunities, and solutions for improvement or maintenance of effective performance.
Ensure completion of required activities of the team, including but not limited to, mandatory trainings, developmental exercises, and
Review assigned background screening candidate cases and manage corresponding systems that track and monitor the completion of said cases.
Work directly with candidates and employees that are subject of the background screening to ensure that their screens are correctly initiated and any critical requirements to start onboarding are completed.
Update all applicable tools and systems to reflect correct status of candidates at any given time.
Partner with candidates, employees, and other internal partners to complete required actions to close off and finalize screens. This will include contacting candidates/employees, vendors, or entities through applicable and approved communication channels, following-up and escalating delays, and proactively tracking and monitoring case completion with the background screening vendor.
Partner with HR team members responsible for assigned candidates and employees as well as their hiring managers for any escalations or concerns related to the screening of the assigned candidate or employee following the established escalation and follow-up matrix.
Successfully and correctly, complete individualized assessments of background screening information to provide an appropriate final adjudication recommendation on the candidate or employee to their respective HR team members. Fully adhere to all established processes surrounding case completion, including proper documentation of results and final actions in all applicable systems and trackers.
Successfully complete all necessary administrative tasks as assigned. This will include any reporting or audit responsibilities assigned to your workgroup as well as any ad hoc administrative tasks as they come up.
Effectively represent BGS (its position, initiatives, processes, etc) in discussions with partners and stakeholders whenever necessary. Be able to attend and present process discussions during audits or process reviews.
Liaise and partner with vendors, Business Activity Owners, and third party management groups in monitoring outsourced support.
Proactively lead and participate in projects and stretch assignments. Regularly attend meetings, forums, discussions, training sessions, and other similar activities whenever asked and actively participate in them.
Complete and deliver on any active projects assigned. Must proactively own assigned projects, manage deliverables associated with said projects, and be able to present valuable updates to BGS and TAO leaders and applicable stakeholders.
Qualifications:
Previous relevant experience in HR or Talent Acquisition Shared Services (especially Background Screening) of at least 3 years will be preferred.
Supervisory experience managing a team for at least 2 years OR relevant and comparable experience from a more senior rank and file position level will be preferred.
Proven success in reporting and analytics, project management, process improvement, and team development will be preferred.
Experience in successfully managing audits and requirements, especially ones that are regulatory in nature, will be preferred.
Proficient in Microsoft Office
General knowledge of client reporting across the industry and our competitors
Proven organization and time management skills
Demonstrated problem-solving and decision-making skills
Ability to manage projects and deliver on specialized responsibilities
Consistently demonstrates clear and concise written and verbal communication skills
Proven ability to adhere to the strictest rules of confidentiality, compliance, and risk mitigation.
Ability to handle inquiries, concerns, and escalations with the utmost professionalism, tact, and efficiency.
To account for the current challenges with working in the new normal the following remote work / work at home qualifications will be required.
Candidates must have a strong pre-existing home Wi-Fi internet connection (of at least 30MBPS of Download Speed and 5 MBPS of Upload Speed).
Candidate must have a working smartphone that can be successfully used as an alternate internet hotspot on top of their WiFi connection.
Candidate must also already have on hand an existing working personal computer or laptop that successfully runs the most updated versions of Windows or Mac operating systems without any lags or delays.
Candidates must be residing in a home that will allow for successful remote work / work at home assignments for extended periods of time. Working daily from cafes or restaurants for alternate work setups will not be allowed.
