Job Description
The Luzon Transport Assistant is responsible for the effective logistics support to the entire Luzon operations through effective management of third party logistics that will ensure customer satisfaction on their delivery requirements.
Duties and Responsibilities:
PFC Flour
Monitors and coordinates finished goods deliveries from plant to port of destination either from Manila or Batangas port
Assists customers, TBMs (Territorial Business Managers), and RSM (Regional Sales Manager) in the delivery of their orders from port to customer warehouse
Plots communicate delivery dates and ensure deliveries arrive as scheduled. Provides timely, consistent and up-to-date information to concerned parties
Coordinates with CCR with van arrivals, inventory and setup of shipments
Extends assistance to customers who are inquiring and/or validating van inventory at Manila Port
Assists TBMs and CCR in possible stock-diversions by providing unwithdrawn van details in Manila Port with close coordination with CCR,warehouse-Iligan, Accounting-Receivables and Payables, provides proper documentation of approved stock diversions
Coordinates with Warehouse Iligan and Loading team to ensure all container vans have the proper documents such as Certificate of Analysis (COA), Fumigation Certificate, Loading Authorization and Delivery Receipts prior to its delivery
Coordinates with accounting, warehouse team and sales the changes of the mode of delivery as agreed with the customer to ensure adjustments are reflected in the sales budget
Follow-ups on-time billing submission to provider
Assists Accounting Receivables in providing the needed information or document for reconciliation purposes of pending credits for collection
Follow-ups Luzon Flour Sales Team and CCR on daily delivery schedules
Responds to logistics-related customer complaints by identifying corrective actions necessary to address the complaint
Monitors stock-returns in Manila Port/Iligan Plant
Monitors and ensures containerized cargoes are within the allotted port free storage days to ensure no unnecessary demurrage charges
Helps establish good customer-supplier relationship by having rapport and maintaining customer satisfaction
Conducts customer visits and initiates satisfaction survey to customers
PFC-FEEDS
Monitors inbound shipments to Luzon (Iligan/Cebu to Manila)
Closely monitor with CCR-Feeds van arrivals, inventory and setup of shipments
Provide truck requirements for efficient and effective delivery of goods
Ensures on-time pullout of container vans to avoid demurrage
Coordinates delivery instructions to assigned service provider to ensure satisfactory service
PANC-FEEDS
Assists in truck allocation from pulling out empty container vans from Manila Port to pickup of feeds at PANC Tarlac warehouse
Assists in ensuring container vans from PANC Tarlac are included in its target sailing schedules
Assists in validating trucker billings for all PANC transactions which origin point is Manila port
PROCUREMENT-RELATED
Coordinates booking requests with shipping lines for Raw Mats from Manila to Iligan Plant and vice versa
(outbound shipments)
Administer truck allocation and planning to ensure on-time pickup of raw materials from supplier warehouse
Provides assistance to Purchasing team when it comes to booking rolling cargo shipments such as vehicles
Provides assistance to Purchasing team when it comes to booking rolling cargo shipments such as vehicles bought in Manila going to various provinces in Visayas and Mindanao
Assists in trucking allocation for PANC's requirements coming from Cebu
THIRD PARTY LOGISTICS SERVICE PROVIDER
Manages relationship with accredited 3PL service providers
Coordinates schedules of deliveries with truckers and shipping lines
Issues letter of authority to assigned service provider, including all necessary details for easy pullout from shipping lines
Secures delivery feedback and confirmation from truckers
Reminds trucking coordinators of the specific unloading requirements of each customer
Ensures delivery documents such as trucker waybill, delivery receipts (DR) and others, are returned to Pilmico Taguig office
LOGISTICS ADMINISTRATIVE WORKS
Validates 3PL billings to ensure accuracy of date and matches delivery documents/requirements against billing documents to facilitate efficient collection process
Extends assistance to both internal and external customers in providing the needed delivery document
ORACLE TRANSPORT MANAGEMENT
Encodes POD details of every FG Flour shipments in Luzon
Reconcile mismatch customer and service provider
Fix rate variances due to varying toll fees, handling charges, storage, demurrage charges, etc
Provides support in the 3rd leg shipment details such as basic rate and other accessorial rates
Generates letter of authority in OTM that serves as primary billing requirement for all service providers
Other Tasks
Performs other related activities that may be assigned by immediate superior
Qualifications
EDUCATIONAL REQUIREMENT:
Bachelor's degree holder in any business-related course
WORK EXPERIENCE REQUIRED:
At least 2-3 years of experience in Logistics
CRITICAL SKILLS OR EXPERIENCE REQUIRED:
Computer literacy in data processing and company required software
Knowledge in Oracle Transport Management is an advantage
Strong interpersonal relationship skills
Planning and organizing skills
