LEASING SALES ADMIN
JOB SUMMARY
The LEASING SALES ADMIN supports the leasing process through the management of administrative tasks, effective communication with clients and internal teams, and the smooth execution of leasing agreements. He / She ensures that leasing operations run smoothly and efficiently, providing support to both the leasing team and tenants.
DUTIES & RESPONSIBILITIES
Prepare lease agreements, contracts, and other leasing documents accurately, ensuring compliance with company policies and legal requirements.
Coordinate lease transactions, including renewals, extensions, terminations, and amendments, in collaboration with leasing managers and other relevant departments.
Communicate with clients to gather necessary documentation, verify information, and address any questions or concerns related to lease agreements.
Maintain accurate, up-to-date records of lease agreements, including lease terms, payment schedules, security deposits, and other pertinent details.
Coordinate with CEX for property inspections, move-in/out procedures, and maintenance requests with tenants, landlords, and property management teams.
Facilitate meetings, including scheduling, preparing agendas, and documenting Minutes of Meetings (MOMs) for internal and client-related discussions.
Assist in resolving tenant disputes, complaints, and inquiries in a timely and professional manner, escalating complex issues when necessary.
Collaborate with accounting and finance teams to ensure timely invoicing, rent collection, and reconciliation of lease payments.
Monitor lease expirations and proactively communicate with clients about renewal options, negotiating lease terms as needed.
Stay informed about industry regulations, market trends, and best practices related to leasing administration and property management.
Maintain confidentiality of sensitive information and adhere to data protection policies and procedures.
Assist in the development and implementation of leasing strategies and process improvements to enhance overall efficiency and effectiveness.
Familiar with both hard and electronic filing systems, ensuring proper organization and easy retrieval of lease documents and other important records.
Utilize strong interpersonal skills for effective collaboration across departments and with clients, ensuring smooth coordination and positive working relationships.
JOB REQUIREMENTS
Bachelor's degree in business administration, real estate, finance, or a related field
Proven experience in leasing administration, property management, real estate, or a similar role.
Strong understanding of lease agreements, property law, and leasing regulations.
Excellent organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines simultaneously.
Proficiency in Microsoft Office tools.
Exceptional communication and interpersonal skills, with the ability to interact professionally with clients, tenants, and colleagues.
Ability to work independently with minimal supervision and collaborate effectively as part of a team.
Strong problem-solving skills, with the ability to handle challenging situations with diplomacy and tact.
Flexibility to adapt to changing priorities and work in a fast-paced environment.
Knowledge of fair housing laws, leasing regulations, and industry best practices is a plus.
Professional demeanor, ethical conduct, and a commitment to providing outstanding customer service.
Knowledge of SAP, Salesforce, or Inventi systems is preferred to effectively manage lease data and track transactions
WORK SCHEDULE: Hybrid Work Arrangement but may change depending on Company's operational needs.
