Job Description
GBS Contracts Service and Solutions Specialist
Responsibilities:
Raise PO requests on a daily basis.
Checking vendor set up details in SAP prior to raising PO, creating a 'one time only' PO raised as vendor not set up and request urgent, vendor blocked, due to multiple issues, respond to VQ & APAC enquiries around processing of PO & invoice.
Ensure that all PO requests raised are kept in a SharePoint folder for quick reference.
Requesting for Vendor to be set up. On an ad-hoc basis need to update vendor details
Occasionally needs to chase VQ Australia to speed up the Vendor Invoice Payment.
Basic knowledge of Product involved in our Services offer.
Basic knowledge of our internal processes to solve issue.
Able to present simple case to management team
Create and/or support the automated creation of Installed Base records in the Installed Base management system, based upon validated data from the BIUs or from other validated sources.
Monitor automated processes via exception reports to ensure timely and complete creation of Installed Base records.
Maintain existing Installed Base records in accordance with validated change requests.
Monitor the automated Installed Base maintenance processes via exception reports to ensure that changes have been executed completely and accurately.
Carry out a regular analysis of data accuracy including providing data for field audits and absorbing the results of field audits back into the maintenance process.
At all times, working within the requirements set out in the relevant work instructions, process guidelines and in accordance with Quality and Regulatory policies and procedures
Create service contracts in the system management system based upon a signed contract quote.
Add the agreed contract features relevant for appropriate services execution, pricing and billing information
Connect the correct Installed Base Product
Renew the contracts based on signed quote or renew the contract based on the original quote in case of silent renewal agreement with the customer.
End the contract upon request from customer or per internal reason.
Create contract amounts via credit note if necessary
Requirements:
At least 5 years' experience in either Contracts, Installed Base or Service Parts are required
Order Entry experience and understanding of T-Codes are required
Candidate must possess at least a Bachelor's degree (any course).
SAP experience is required
Can work at very early shift (5AM) as needed by the business
Willing to render overtime and work during holidays
ServiceMax experience is preferred but not required
Fluent in written and spoken English
Basic Computer skills (Excel, Word and PowerPoint)
