Franchise Officer is a professional who works to develop and expand a company's franchise program. S/he handles functions for franchise management which includes pre-onboarding - assist on lease acquisition, lease offerings, construction processes and other opening activities of stores. S/he is also responsible in coordinating the new franchisee's onboarding journey which includes onboarding presentation, branch construction, branch soft opening, and QS Partners training overview. S/he will ensure that resources are meeting the needs and requirements for the completion of the store construction. Part of the role is to ensure strict compliance on deadlines and standard work regulations set by the company.
Key Result Area/Duties & Responsibilities
Pre-onboarding
Creates a list of possible locations for reference on offering to Franchisees. Ensures availability of spaces whenever requested and asked for by the Franchisees.
Negotiate and close deals with leasing partners. Make the space readily available for offering to future Franchisees.
Drafts proposals/quotations necessary in providing pricing to possible Franchisees if needed and necessary.
Does presentation with prospective Franchisees. Discusses the process from pre-construction, during construction to post assistance on all the needs of all our Franchisees.
Assists and suggests the Account Officers on inquiring and acquisition of potential areas/location that can be offered to interested Franchisees.
Store Construction
1. Responsible on the overall store construction from setting of timeline, completion of resources needed - manpower, tools, store lay-out, suppliers, construction partners, etc. to smooth branch opening.
2. Endorse stores that are completely constructed and ready for branch opening to the Account Officer.
3. Creates timeline for project completion. Ensures that it is followed. Ensures the accuracy and timeliness of store construction completion. Makes sure that deadlines are met. For unexpected concerns on rectification, he/she shall make sure to revert and fix such.
4. Negotiates with suppliers to lower down the cost without affecting the quality of the output.
5. Ensures that Franchisees are cooperative during the planning and construction period to prevent rectification or revisions/redo. This helps manage time with no/less problems overtime.
6. Ensures that all the recommendations and suggestions of the Franchisee are taken into consideration. Also, explains to them (if needed) as to what the best alternative on their preference would be if it's not applicable to be incorporated on the store lay-out.
7. Recommends necessary improvement, reconstruction, rectification, refurnished of existing stores (HQ and Franchise) as necessary and needed. This must include changes on equipment, chairs, wirings, signage or anything that requires changes for store improvement.
8. Coordinates with Operations Assistant on processing the opening kit/equipment and initial stocks.
9. Provides and submits project completion report for each project that has been accomplished for proper documentation.
10. Responsible on the processing and completion of the following documents needed to proceed with the store project - deed of assignment, SEC Cert, Lease offer and other documents needed.
Store Opening
1. Does ocular one week before the opening, ingress after the construction where setting-up of equipment shall be conducted and ingress for food/product supply stocking.
2. Properly and completely endorse the store to AO after successful setting-up of the branch store.
3. Ensures that everything is set and ready prior the scheduled store opening.
4. List down all the necessary audit observation re:store construction for it not to happen again and to immediately take a remedial action to resolve it.
5. Monitors the franchise application cycle time (up to ownership direction) and ensure closure/ resolution to each application.
6. Does activation of new stores which includes checking the physical stores and recommending final touches before its opening.
Others
Ensures that all onboarding concerns of franchisees are address accordingly.
Assists new franchisees to become operationally proficient.
Ensures written/documented communication with the franchisees especially if it's a decision thing to avoid conflict to happen in the future.
Performs other tasks that may be assigned from time to time.
