We operate with precision, speed, and creativity - and we're looking for a right-hand Executive Assistant who thrives in a fast-paced environment and can anticipate needs before they arise.JOB SUMMARY:We're seeking a highly organised, proactive, and tech-savvy Executive Assistant / Administrative Professional to directly support the CEO, across both business and personal matters. This role requires someone who can balance strategic administrative support with personal coordination, ensuring that professional and personal worlds run smoothly, efficiently, and in alignment with company priorities. We're looking for someone who takes initiative, can triage communication rapidly and leverages AI and automation tools to streamline processes and stay ahead of the curve.KEY RESPONSIBILITIES:Executive Support & AdministrationManage CEO's daily schedule, meetings, and travel - ensuring priorities are met and time is optimised.Oversee and manage email inbox: triage incoming messages, prepare draft responses, and ensure timely replies.Maintain clear systems for delegation and follow-up on daily action items.Draft, edit, and send professional correspondence and reports with a high level of polish and reliability.Prepare regular SOPs, weekly, monthly, and quarterly reports - including status updates, visuals, and site photos from construction projects.Keep track of key deliverables and deadlines; ensure accountability across projects.Coordinate both professional and personal tasks (appointments, travel, personal purchases, scheduling, etc.) to free up executive bandwidth.
Process Improvement & AutomationIdentify opportunities to automate administrative workflows using AI tools and software integrations.Leverage technology to streamline communication, reporting, and task management.Maintain a
continuous improvement mindset - refine systems for greater efficiency and clarity.Communication & RepresentationCommunication & RepresentationAct as a professional and reliable point of contact for internal and external stakeholders.Communicate with clarity, discretion, and diplomacy on behalf of the CEO.Ensure consistent follow-up and execution of all delegated tasks.RequirementsSKILLS & QUALIFICATIONS:3-5+ years of experience as an Executive Assistant, preferably supporting a CEO or senior executive.Exceptional written and verbal communication skills.Strong sense of urgency, judgment, and reliability.Highly organised with excellent attention to detail and follow-through.Confident using and experimenting with AI tools to automate tasks.Tech-savvy; proficient with Google Workspace, Microsoft Office,
