Position: Executive Administrative Assistant - Venture Capital and Private Equity
Work Schedule: Full-time | Monday-Friday | Pacific Standard Time (PST)
Salary Range: US$1,100 - US$1,400 per month

We are seeking a highly motivated and detail-oriented Executive Administrative Assistant to provide comprehensive support to the executive team of our client. This role requires a proactive and adaptable individual who can handle various administrative tasks efficiently in a fast-paced environment. As the Executive Administrative Assistant, you will be responsible for managing calendars, coordinating meetings, preparing reports, and handling confidential information.
Key Responsibilities:
Your primary responsibility will be to provide comprehensive administrative support, ensuring the smooth day-to-day operations of the executive team. These include, but are not limited to:
General Administrative Support: Handle tasks such as answering and making phone calls, organizing files, and managing travel arrangements.
Internal Coordination and Communication: Facilitate communication within the team and assist in coordinating projects and initiatives.
Company Database Maintenance: Take charge of maintaining and updating the company database to ensure accurate and up-to-date information.
Document Filing and Management: Organize and manage important company documents for easy retrieval.
Immediate tasks anticipated for the candidate to fully own on week 1:
General administrative tasks such as answering and making phone calls, and organizing files.
Travel arrangements
Update company database
Requirements
At least 2 years of proven EA Experience: Demonstrated experience in a similar Executive Assistant role, showcasing organizational and administrative skills.
iOS/Mac User: Proficiency with either an iPhone or Mac is crucial as the client predominantly uses iMessage for communication.
Experience in Finance, Accounting, HR, and/or Recruitment: Ideally, candidates should have a background or experience in finance, accounting, HR, or recruitment to bring valuable insights to the role.
CRM Expertise: Experienced with Customer Relationship Management (CRM) tools. Examples include Salesforce, HubSpot, or Zoho CRM. Proficiency in managing and utilizing CRMs is essential for effective internal coordination.
Proactive Mindset: A forward-thinking and proactive approach to anticipating needs and addressing challenges.
Strong Ethical Foundation: Upholding high ethical standards in all aspects of the role and maintaining confidentiality.
Collaborative: Ability to work seamlessly with the executive team and cross-functional teams within the organization.
Adaptable & Flexible: Comfortable navigating through dynamic work environments and adapting to changing priorities.
