Job Responsibilities:
Answering incoming phone enquiries for Dentures
Explaining the denture process
Gaining consent for Denture consultations / Sending Appointment Confirmations
Appointing jobs to Prosthetist team
entering new patient details on Dentrix and updating existing information
Liaising with dental team for Extraction/Denture appointments
Lodging claims for DVA treatments - Sending Remittances to Accounts
Preparing treatment plans and processing quoteforms
Sending Treatment plans
Gaining State trustee and public trustee pre-approval for treatment plans
Managing incoming daily emails
Managing spreadsheet of patients
Checking when deposits are due/overdue
Checking balance and full payment status
Chasing payments for deposits/balances
Sending treatment follow-up emails
Quote follow ups
Managing priority cases, Extraction patients, Immediate dentures
Ensuring jobs are completed on time
Requesting weekly updates from pros - Checking denture progress
Managing 4 separate price lists: VIC, SA, TAS, TLC
Lodging VDS and government-based voucher schemes
Managing multiple email templates for Treatment consent, follow ups, appointment confirmations, treatment plans.
Confirming dental appointment daily - text messaging the NOK/Calling the facility
Daily checks of appointments for balance request and full payments
Weekly Pros reporting
Processing Pros invoices
Chasing deposits and balance payments
Prepare and posting information to clients
Requirements * 2+ years experience as a coordinator
Strong communicator via phone and email
Good computer skills, experience working with a database, scheduling
Competent to support invoicing process
A passion for delivering niche services at an exceptional level of excellence.
Organized and detail orientated.
